    Summary

    Performs moderately complex administrative and office duties for an academic, managerial or technical unit. Performs various clerical duties such as filing, typing, copying documents for an individual, office, business unit, department, or other organizational group. Screens and transfers calls, arranges meetings, and compiles basic information for routine reports or other materials. Distributes mail, handles travel and accommodations, and maintains office supplies. Has intermediate word processing, spreadsheet, and graphics software skills. Normally performs tasks with work priorities and general instructions provided by the supervisor. Exercises judgment in selecting and applying established procedures correctly, and in determining when to refer problems to a supervisor.

    Essential Duties and Responsibilities

  • Compose correspondence, reports and memos.

  • Arrange meetings and conferences and keeps minutes or records.

  • Prepare and maintain expenditure records or spreadsheets for site management.

  • Working with internal travel accounting and a designated external travel agency, make business travel compliant with the US Government Joint Travel Regulations and ensure the lowest reasonable travel itineraries are made while supporting the business objectives

  • Process travel requests and expense reports

  • Makes and schedules appointments and travel arrangements.

  • Scheduling and coordination of meetings and conference arrangements for associates as requested

  • Prepare Contractor Field Service Reports

  • Print & organize courseware material in binders for students

  • Assist management with training, scheduling and distributing work of associates.

  • Perform office functions regarding finances such as purchasing and maintaining an inventory of office related supplies or accounts payable.

  • Maintains timekeeping system for associates.

  • Answer phones, take messages and route calls.

  • Receive visitors and answer routine inquiries from team members regarding policies and procedures.

  • Prepare forms for and operate office equipment.

  • Perform research or gather other relevant information as needed.

  • Contribute to unit goals by accomplishing related duties as required.

  • Coordinate refreshments, meals and other support for meetings

    Qualifications and Education Requirements

  • High school graduate or equivalent, preferably with business/administrative training beyond high school.

  • One to three years related work experience required. Administrative/office experience preferred. Education beyond high school may count toward experience. May be tested on appropriate computer skills as required.

  • Experience/Proficiency in all Microsoft Office applications (Word, Excel, PowerPoint, Outlook)

  • Strong organizational, analytical, and interpersonal skills are required

  • Effective communication skills with all levels within an organization and strong customer focus is required

  • Must be able to handle multiple tasks simultaneously

  • Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.

    Preferred Skills

  • Experience working in defense contractor environment is a plus, but not required.

  • Active DoD Secret Clearance, or ability to obtain one required; Top Secret preferred.

    Security Responsibilities

Must comply with all company security and data protection / usage policies and procedures.  Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval.  All government and proprietary information will be accessed and stored electronically on company provided resources.

  • Incumbent must be eligible for DoD Personal Security Clearance.

    Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.

    Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
