Aston Carter Sales Support Associate in Westchester, Illinois

Description:

Responsibilities: NO SALES IN THIS JOB

Candidate will be given a specific territory which may include a couple of states. They will work with Hospitals, surgery centers, etc. externally. They will support several departments like Accounting, Data Entry, Customer Service, Tech, Engineering, and Sales departments to coordinate from an internal perspective. There are 6 current reps they will support.

• Act as primary point of contact on issues relating to orders, inventory, shipment, and invoicing

• Support internal and external customers (mostly internal)

• Convey and promote a positive, professional, and initiative company image

• Manage leads acquired during events in SalesForce

• Analyze all system orders regularly and manage customer follow-up procedures

• Serve as customer liaison by continuously communicating shortages of parts and order status prior to shipment and follow-up until shipment is completed

• Follow up with customer on open/outstanding invoices, so as to actively work towards reducing overdue AR

• Accurately manage and maintain processes of order confirmations, invoices, and credit notes

• Manage essential Purchase Order paperwork (i.e. review and forward all generated documents according to the order process)

• Distribute and coordinate product notifications to customer base

• Assist sales employees by organizing and sending needed marketing materials, as requested

• Coordinate and manage requests related to data uploads, reporting, and other ad-hoc requests related to customer data

• Act as back up for Receptionist and RMA specialist during lunch, vacation and sick days

• Perform special projects and other duties as requested/assigned

This is heavy order entry, data entry based role. It is project based.

Check stock availability on products when internal partners ask

Enter 10-20 Purchase orders a day with detail

Track PO's

Track orders and provide updates to customers on arrival, etc.

Will be using basic office suites (Excel, Outlook, Word)

Additional Skills & Qualifications:

Requirements:

• Associate degree required, Bachelor Degree preferred (No degree is required, they will take experience but must be good experience)

• 2-3 years of experience in sales support, contract coordination, or related experience

• Strong interpersonal skills

• A commitment to quality, with excellent attention to detail

• Entry-level experience in purchasing, accounting, marketing or logistics a plus

• SAP or similar ERP system experience

• Salesforce.com experience

• Ability to react appropriately to all customer inquiries, including difficult and/or urgent situations

• Excellent written skills
