Responsibilities:

• Perform a variety of routine and complex secretarial duties ensuring efficiency in all administrative operations.

• Respond to records promptly and accurately, ensuring all data is up to date and accessible when required.

• Manage incoming phone calls and emails, providing timely and detail-oriented responses.

• Greet walk-ins and guide them as necessary, ensuring a welcoming and efficient visitor experience.

• Process mail in an organized and timely manner, ensuring all correspondence is directed to the appropriate personnel.

• Maintain schedules meticulously, coordinating appointments and meetings to ensure smooth workflow.

• Assist in preparing budgets, ensuring financial resources are effectively allocated and tracked.

• Manage inventory and order office supplies as needed, ensuring the office is well-stocked and functional.

• Utilize Microsoft Excel, Outlook, PowerPoint, and Word to perform administrative tasks and maintain records.

• Schedule appointments, ensuring all parties are well-informed and prepared.

Requirements • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook

• Experience in handling inbound and outbound calls in a timely and efficient manner

• Proven customer service skills with the ability to resolve issues and maintain strong customer relationships

• Demonstrated ability to perform data entry tasks with high attention to detail and accuracy

• Experience in managing email correspondence and ensuring timely responses

• Ability to schedule appointments, manage calendars, and coordinate meetings

• Experience working in local government or similar administrative roles would be a plus

• Strong organizational and multitasking skills with the ability to prioritize tasks effectively

• Excellent communication skills, both written and verbal

• Ability to work independently as well as part of a team

• High school diploma or equivalent required, further education or qualifications in administrative tasks would be advantageous

• Must have legal right to work in the location of the job.
