The Position
The Executive Assistant provides comprehensive administrative support to the Corporate Vice President (CVP) and Senior Leadership team at Novo Nordisk in New Hampshire ensuring the seamless representation of the executive team with a focus on confidentiality and exceptional interpersonal skills. Works independently on projects under the general direction of the CVP. This is a fast-paced manufacturing environment that requires someone who can effectively priotize a series of complex assignments, which often require interfacing with stakeholders across our site along with stakeholders from other Novo Nordisk locations in the US and internationally. Ability to communice effectively in a concise manner is crucial to success in this role. This role will require incumbent to have the confidence to 'push back' and provide substantive direct feedback to senior leadership onsite when necessary to ensure seamless completion of tasks/projects in an effective manenr.
This is an onsite based role 5 days a week Monday-Friday at our West Lebanon, NH bio-production facility.
Relationships
Reports to: Corporate Vice President (Site Head)
Essential Functions
Provides professional administrative support to Corporate Vice President (CVP) with minimal supervision
Represents executive team in a professional, positive manner, upholding a strict level of confidentiality & exceptional interpersonal skills
Owns/leads projects as assigned. Sees project through from origination to completion within defined scope, cost & time constraints. Plans, analyzes & designs objectives; assesses & mitigates risk; controls execution; tracks & reports progress. Coordinates internal & external resources
Expense reporting/approval (having sound understanding of travel policy for compliance) and Novo Nordisk systems and processes
Manages calendar activity for the Corporate Vice President (CVP) by resolving conflicting demands, scheduling internal/external/international meetings (virtual & in-person); arranges travel; coordinates logistics. Prioritizes meeting participants; sets up meetings; prepares agendas
Plans, arranges & coordinates large meetings, to include locating a facility, notifying participants, preparing agendas; attending meetings; recording results; tracking additional information or necessary follow-up. Plans & arranges international meetings, large group events & facility tours
Owns/aligns with finance to ensure meetings are within budget guidelines
Heavy involvement & regular contact with Novo Nordisk affiliated companies & key industry leaders in the US & abroad
Screens telephone calls & visitors. Resolves problems & complaints with tact & judgment
Reviews, prioritizes & acts on incoming communications
Prepares complex reports, presentations & minutes of meetings
Partners with internal communications and prepares site communications & announcements for the CVP
Collaboration with P&O on site initiatives, engagement and NNWay Facilitation
Maintains extensive knowledge of NNUSBPI, to include shift schedules & management team, organizational structure
When applicable, supports the Corporate Vice President (CVP) & his family on matters specific to mobility assignment
Anchor for the Corporate Vice President (CVP) Management Team; gives guidance & assists with various inquiries & requests
Not responsible for supervising others; however, may assign work, review work & provide training/assistance & mentoring to others within the company, i.e. operations & administrative assistants
Other duties as assigned
Performs all job duties and responsibilities in a compliant and ethical manner and in accordance with all applicable healthcare laws, regulations and industry codes
Incorporates the Novo Nordisk Way and 10 Essentials in all activities and interactions with others
Qualifications
Education and Certifications:
Bachelor’s Degree in a related field required
May consider High School Diploma or associate’s degree
Work Experience:
Bachelor’s Degree with two (2) years of supporting high-level executives, project coordination, or similar experience required
May consider High School Diploma with seven (7) years of supporting high-level executives, project coordination, or similar experience
May consider associate’s degree with five (5) years of supporting high-level executives, project coordination, or similar experience
Knowledge, Skills, and Abilities:
Manage execution of responsibilities in a timely & professional manner; outstanding customer service required
Strong communication skills - verbal, written & listening. Demonstrated ability to forge & develop productive relationships required
Self-starter with the ability to work with minimal supervision & manage workload effectively with competing demands for resources & time required
Pro-active in identifying issues, opportunities & needs of customers required
Ability to shift priorities & manage time effectively, completing a variety of work with changing deadlines accurately & on time required
Highly proficient & advanced skills in Microsoft Office applications including Word, Excel & PowerPoint required
Ability to multi-task & make decisions in a fast-paced environment required
Superior organization & planning skills with strong attention to detail required
Physical Requirements
0-10% overnight travel. Ability to travel internationally. The ability to stoop, kneel, crouch, reach, stand, and walk. The ability to grasp and finger. The ability to speak, listen, and understand verbal and written communication. Repetition including substantial movement of wrists, hands, and or fingers. While performing this job employee work involves sitting most of the time with walking and standing required only occasionally. Lifting up to 10 pounds of force occasionally. Visual acuity to perform close activities such as: reading, writing, and analyzing; and to determine the accuracy, neatness, and thoroughness of work assigned or to make general observations.
