ASRC Federal AFSS is a premier provider of systems engineering, software engineering, system integration and project management support for real-time, mission-critical defense systems. We are seeking Senior Project Support Specialist to provide full-time on-site support to a NASA contract at NASA, Headquarters in Washington, DC.
Responsibilities:
Provide high quality customer service to high level executives at NASA Headquarters (Office of the Administrator).
Attend meetings on behalf of executives and report back status.
Provide writing support as needed on a variety of documents.
Coordinate meetings/appointments/conferences and arrange for appropriate equipment.
Prepare agendas, attend meetings as requested, and report back status.
Manage shared calendars for one or more Executives as needed.
Help coordinate, plan, and execute office moves to include phone moves, IT coordination, list updates, key requests, door sign requests, and excess requests.
Maintain office supply inventories.
Coordinate logistics for travel to include protocol and multiple legs of trips.
Prepare, process, and coordinate approval for purchase request and other documents.
Prepare standard presentation packages for NASA Executives as well as specialty presentations to include gathering input and formatting for consistency.
Develop and document internal workflows for efficiency.
Prepare and route official NASA correspondence documents as per NASA HQ standards and directives.
Maintain and update electronic files, records, and data.
Individual will proactively interface with all levels of management and other program team members to ensure the Directorate has all levels of administrative support covered.
Additional duties as requested. May lead others in complex assignments.
Requirements
Ability to work on site during normal business hours.
Responsible for communicating project status and issues to customers and leadership as they arise. May be responsible for taking direction from leadership and distributing information to team members, stakeholders, and leadership quickly and efficiently.
Ability to take direction from leadership, distribute functions across a team, and keep track of structuring various tasks, employees, and policies.
Outstanding, proactive, customer service skills with the ability to anticipate needs and create efficient process flows.
Must have excellent oral, written, and interpersonal communication skills. Able to work with executive-level customers and leadership.
Strong working knowledge of Microsoft Word, Excel PowerPoint, and Outlook.
Must have the ability to balance multiple priorities and produce quality work efficiently.
Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA HQ Extensive background investigation will be performed as a requirement of the job. Some travel may be required.
NASA Project Support experience highly desirable.
Education and Experience:
- Bachelor degree and 5 years of professional experience or 8 years of experience in lieu of degree
