Responsibilities

  • Work closely with the Program Manager, peers, and government personnel.

  • Provide support to planning, monitoring, coordinating, and reporting on Bureau/Mission program activities to ensure that activities are efficiently and effectively implemented in a manner that achieves the objectives of the U.S. Government.

  • Coordinate and track document clearance processes within SPO, ensuring proper tasking of clearances (including informational copies to relevant SPO teams) and that clearances are issued by indicated deadlines.

  • Research and provide technical support for studies, analyses, and related Bureau/Mission and programmatic support.

  • Provide administrative support for all aspects of Office and Bureau administration, including but not limited to preparing travel documentation (Travel Authorizations, Travel Vouchers), maintaining SPO’s Time and Attendance (WebTA), Tracking staff leave and travel, supporting the Bureau’s AMS Team with SPO-relevant personnel actions.

  • Support planning and SPO participation in conferences, workshops, meetings, portfolio reviews, program assessments and evaluations.

  • Prepare program / project tracking, reports, and success stories, and tracking of clearance actions due in SPO.

  • Support USAID liaison and coordination efforts with other donors, NGOs, civil society groups, government officials, USAID staff, and other actors.

  • Set up calls and meetings for SPO and provide the official notes to be cleared and shared with participants.

  • Provide support to Bureau Outreach efforts including, but not limited to, facilitating central Outreach emails especially when Outreach team is unavailable, setting meetings, drafting, editing, facilitating input, coordinating documents, and supporting event planning, preparation and implementation.

  • Provide records maintenance and other duties as assigned related to area(s) of responsibility.

  • Analyze and organize budget and field support tracking.

  • Manage control and filing / library maintenance.

  • Update and manage portfolio review, management systems and program files.

  • Provide Technical and program related conference and event planning.

  • Perform secretarial and administrative functions as needed, to include maintaining the calendars, scheduling meetings, maintaining files, handling mail and correspondence, program document preparation, presentations and preparing all travel-related documentation and making travel arrangements for staff as assigned.

  • Provide support to the Middle East Bureau Front Office and other ME Bureau Offices as needed.

  • Provide records maintenance and other duties as assigned related to area(s) of responsibility.

  • Manage control and filing / library maintenance

  • Update and manage portfolio review, management systems and program files.

  • Monitor the implementation of program activities, with emphasis on identifying constraints, issues, logistical needs, and dependencies of specific inputs.

  • Prepare program / project tracking, reports and success stories.

  • Perform secretarial and administrative functions as needed, to include maintaining the calendars, scheduling meetings, maintaining files, handling mail and correspondence, program document preparation, presentations and preparing all travel-related documentation and making travel arrangements for staff as assigned.

  • Manage multiple competing priorities through effective organization and communication.

  • Provide regular and timely status reports to internal management team.

  • Willingness to work in Washington, DC at least 3 days per week

Qualifications

  • High school diploma and a minimum of one-year professional administrative support experience.

  • Active Secret clearance preferred.

  • Strong communication and organizational skills

Knowledge, Skills and Abilities:

  • Demonstrated ability to work independently and with others

  • Ability to work under tight deadlines and handle multiple/detail-oriented tasks

  • Proficiency in the use of Microsoft Office, internet, e-mail applications, and database applications.

  • Proficiency in administrative and clerical functions

  • Ability to travel as required to locations such as Egypt, Iraq, Jordan, Lebanon, Libya, Morocco, Syria, Tunisia, West Bank/Gaza, Yemen.

  • Effective interpersonal skills, especially with senior leadership.

Estimated Salary/Wage

USD $27.70/Yr. Up to USD $27.70/Yr.
