Medtronic Customer Service Representative with German in Warsaw, Poland

You will play a vital role in delivering high-quality customer service, ensuring seamless order processing, and resolving customer inquiries and disputes. You will support our bold mission to improve patients' lives through cutting-edge medical device technologies and solutions. You will be responsible for managing the full scope of order processing, including order entry, order validation, dispute resolution, and returns management. Your role will require close collaboration with internal and external stakeholders to ensure customer satisfaction and operational efficiency. This is a hybrid position based in Warsaw, Poland.

Responsibilities may include the following and other duties may be assigned:

  • Efficiently manage and process customer orders in the SAP system, ensuring accuracy and completeness in all order details

  • Validate orders by identifying and correcting missing or incorrect information, and communicate with customers, sales reps, and internal teams via email to resolve discrepancies

  • Monitor and resolve blocked orders promptly to ensure timely shipment and invoicing, while accurately handling reports and following up on open orders

  • Provide customers with updates on order status, delivery times, and necessary documentation, while collaborating with shipping departments and third-party vendors to ensure timely deliveries

  • Investigate and resolve customer disputes regarding pricing, invoicing, delivery, and product issues, while preparing documentation for order corrections and disputed invoices

  • Process customer returns while ensuring compliance with company policies, maintaining accurate records, and collaborating with regional contacts for process improvement

Required Knowledge and Experience:

  • Minimum of one year of experience in Customer Care Operations or a Shared Services Environment.

  • Spoken and written proficiency in English (minimum B2 level) and German (minimum B2 level).

  • Strong analytical skills and a proactive, investigative mindset with attention to detail.

  • Ability to work under time constraints while handling multiple tasks.

  • Willingness to recommend process improvements to enhance efficiency and effectiveness.

Willingness to learn new tools and experience in Microsoft Office (Excel, Outlook) and using SAP (ECC, CRM CIC) is an advantage.
