Staff Assistant

Power Engineers Canada Inc. is seeking a Staff Assistant for our Power Delivery Overhead Lines Department. This is a full-time position located in our Toronto, Ontario office. The Staff Assistant is responsible for coordinating office operations and the point of contact for general office administrative activities. Our office is located in Downtown Toronto on Bloor St. E.

Roles and Responsibilities:

  • Perform general office tasks: answer phone, greeting and support guests, ship and receive packages, book conference rooms, order catering, etc.

  • Provide assistance to managers and other departmental personnel

  • Collaborate with various departments and teams that are in a virtual setting

  • Provide a high level of document control such as typing transmittals, letters and documents, quality control documents, managing electronic files, closing projects, and the overall document management

  • Type, edit, and proofread documents and presentations

  • Schedule and organize meetings

  • Make travel arrangements

  • Assist with onboarding of new staff

  • Support remote IT team as required in ensuring local computers and equipment are functioning properly

  • Data entry, invoice/expense reconciliation

  • Manage office supplies inventory at multiple locations

  • Assist in organizing office special events (team lunches, holiday parties)

  • Coordinate with contractors for fire inspections, building maintenance, cleaning, furniture, etc.

  • Weekly monitoring of various tender sites for potential opportunities

  • Assist with local Health, Safety, and Environment committees with safety programs, including ordering Safety supplies and preparation for annual safety audits and compliance

  • Maintain consistency with POWER administrative practices

Required Education/Experience

  • High School diploma required

  • 2+ years previous experience in an office or engineering environment

  • Proficiency in MS Word, PowerPoint, Outlook, Excel, and OneNote

  • Strong familiarity with a wide range of office equipment – printers, audiovisual, conference phones

  • Strong organization and customer service skills

  • Excellent time management skills and ability to prioritize work

  • Strong attention to detail

  • Excellent written and verbal communication skills

Desired Education/Experience

  • Document control support for specific engineering projects and programs

  • Document editing & formatting experience

  • Proficiency in Microsoft Office Visio, MS Project, Onedrive, Adobe/Bluebeam, Microsoft Teams, SharePoint, SmartSheet and Dynamics and Bentley ProjectWise software

  • Accounting experience, including procurement and requisitions

  • Certifications in business administration or similar

  • Class 5 license with a vehicle to utilize for local travel to execute tasks. Mileage is reimbursed
