What We Want

The Program Coordinator I, under general supervision, will be responsible for providing administrative support to the Department Head, Director of Graduate Programs, Senior Administrative Coordinator, faculty, and graduate students. The selected candidate for this position will coordinate day-to-day office activities, Graduate Program functions, the department’s media presence, and various events and initiatives. What You Need to Know

Salary: Starting at $45,000.00

Required Education and Experience:

  • Bachelor's degree or equivalent combination of experience

  • Additional 2 years of administrative experience

Required Knowledge, Skills, and Abilities:

  • Strong communications, planning, and interpersonal skills

  • Knowledge of spreadsheet, database, and presentation applications

  • Ability to cultivate and maintain professional working relationships

  • Ability to work effectively with various groups of people

Preferred Education and Experience:

  • Experience working with faculty and general academic operations

Responsibilities:

  • Graduate Program Support: Provides administrative support and cultivates a deep understanding of both departmental and university level graduate processes to the Director(s) of Graduate Program and current, prospective and former graduate students. Responsible for coordinating the collection of data and record-keeping related to graduate program and graduate student activity for the department. Maintains confidential student files and databases. Serves as department liaison with the School for Graduate and Professional Studies. Enters admission decisions via the university’s online application system. Assists graduate student with course registration and related actions. Works with the Department Head and Graduate Director(s) to collect and compile the names for the graduate student tuition and fee eligibility lists. Responsible for posting scholarships and posting tuition and fees to student’s accounts. Conceptualizes, arranges and coordinates events within the Graduate Program.

  • Administrative Support and Event Coordination: Assists Department Head and Senior Administrative Coordinator in administrative functions. Implements and informs administrative policies and procedures for the department. Manages and coordinates the planning and execution of administrative tasks. May attend meetings or committees on behalf of supervisor. May supervise, train and evaluate the work of others. Procures and maintains office supplies and equipment for the department. Responsible for the distribution and collection of semester course evaluations. Maintains university and departmental records for syllabi and evaluations. Provides logistical and administrative support for department events, colloquia series, meetings or other special functions. Collaboratively coordinates and arranges travel, documentation, meeting facilities, itineraries, equipment, and food for meetings, seminars and other special events. Responsible for submitting expense reports and uploading all receipts and documentation in Concur.

  • General Office Support: Coordinates front office duties. Evaluates incoming mail, correspondence and inquiries. Requests services such as mail, pick-up and delivery, printing and equipment maintenance. Provides supervision to student assistants. Monitors and maintains website data for employees.
