Job Summary:

The Program Coordinator directs operations and administrative processes for the growing Center for Student Success and Retention (CSSR). Assist leadership with developing, implementing, and optimizing processes as we create efficiencies for our staff of over 120 student and professional employees to serve more students more effectively. Serve as a welcoming, knowledgeable professional resource for students, campus partners and families seeking access and referrals to student success support from learning coaches, peer success coaches, professional success coaches and campus partners. Manage the student success technology systems and collaborate with the Office of Constituent Engagement Strategy on the development of new system functions. Collect, maintain and prepare data to support research and create efficiencies. Liaise among faculty, staff, students, families and other constituencies regarding program services, logistics and processes. Coordinate events, workshops, and meetings integral to program operations and effectiveness.

Job Responsibilities:

  • Manage the processes of Slate, the client relationship management platform (CRM) for CSSR. This includes a variety of systems built and being developed to support student success across the college and constituting the technological infrastructure for student success at IC. Collaborate closely with Constituent Engagement Strategy on revisions and development of functions within this infrastructure, which includes but is not limited to: Student Success Dashboard, Academic Concerns System, and the Leave of Absence/Withdrawal/Transfer Outreach System.

  • Establish a welcoming environment and serve as a positive, professional representative of CSSR. Assess visitors’ and callers’ needs and direct students, faculty and families to the appropriate campus resource or scheduling system to connect with tutors, peer success coaches or professional success coaches. Serve as a calming, reassuring presence for students and families in distress.

  • Coordinate schedules, maintain calendars and foster collaboration among professional and student staff. Liaise with Marketing and Enrollment Strategy departments to maintain databases to be used in the administration of tutoring and success coach services and programs in CSS. Create and maintain department records and provide documents for leadership’s use. Assist in ensuring confidentiality and security of office facilities and records. Track, maintain, and compile student data to prepare it for analysis. Prepare regular and specialized reports, proposals, confidential correspondence, records, documents and spreadsheets.

  • Collaborate on development, maintenance and dissemination of process and practice documentation, instructional materials and training procedures. Maintain records of training and annual security clearances for all members of campus community seeking access to the student success systems. Train new staff in use of CRM-based systems. Collaborate in supervision and professional development of student employees.

  • Demonstrate a commitment to equity, inclusion and belonging at Ithaca College and in our practice. Engage in civil discourse and respectful communication in interactions with campus partners, students and families.

  • Collaborate and consult with leadership to help realize goals of the Center’s and College’s strategic plans, create new efficiencies in office and workflow processes, policies and operations, and maximize the impact of personnel and programs in our division.

  • Explore and share with team members professional development opportunities to increase knowledge of best practices in student success and retention, knowledge and skills in administrative areas, and awareness and understanding of diversity, equity, inclusion and belonging in professional and college settings.

  • Coordinate and ensure appropriate support is provided for programs, groups and guest presenters. Schedule and coordinate meetings, events, programs and their required services.

  • Assist in preparing, monitoring, and reconciling department and program budgets. Create spreadsheets, compile data and prepare budget scenarios. Process, monitor and reconcile expenditures, ProCard and EZpay transactions, purchase orders and requisitions. Manage accounts.

  • Attend select CSS meetings, take notes and maintain library of records and action plans in Teams.

  • Maintain capital equipment records; order and track purchases. Report and track service requests for equipment malfunctions. Requisition and purchase of equipment and supplies.

Required Qualifications:

Bachelor’s degree and a minimum of 3 years administrative and program experience. Expert knowledge of college resources and ability to interface with constituencies across campus. Demonstrated experience in engaging with diverse populations. Highly developed professionalism and tact, and commitment to maintain confidentiality. Demonstrated proficiency in various software applications. Excellent attention to detail, strong organizational, interpersonal, verbal, and written communication skills. Previous experience maintaining and monitoring departmental budgets, multitasking and prioritizing, and meeting deadlines are required.

Preferred Qualifications:

Experience in student services, collegiate settings, or other fast-paced educational or human services environments. Experience with Banner (or other student information management systems), Slate (or other CRMs), Drupal (or other website platforms), Microsoft Office Suite, especially Excel; any student success or advising software. Experience in social media and integrated marketing of services.

This is a hybrid position and should be on campus three days weekly.

This position is 37.5 hours per week, 52 weeks per year.

Hiring Range:

$21 to $23 per hour, commensurate with qualifications and experience.
