GENERAL DESCRIPTION:

The Wyoming Department of Corrections contributes to public safety by exercising reasonable, safe, secure, and humane management while actively providing offenders opportunities to become law-abiding citizens.

The Wyoming Medium Correctional Institution (WMCI) is located in Torrington, WY, and is specifically designed to serve as the main intake and assessment center for male inmates. It serves as a primary education and treatment center for inmates identified as requiring high levels of protective custody and medical, mental health, dental, substance abuse, life skills, cognitive/behavioral, and/or sex offender treatment services.

This position will work primarily with the maintenance department and will report to the Skilled Trades Manager. This position will be responsible for basic clerical duties, data entry and reporting of work orders using the AIM Work Order system, tracking and reporting quarterly, semi-annual, and annual inspections, collecting, filing, and reporting on correctional audit standards, completing purchase requisitions, tracking purchases and may assist in managing inmate time cards.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.

  • Performs executive-level administrative and support duties.

  • Manages the day-to-day operations of assigned programs, projects, or functions between a variety of sources as well as the office maintenance and inventory.

  • Acts as a resource to provide information or interpretation of agency-specific rules/regulations to staff, the public, or other government entities.

  • Assists staff; monitors/reviews quality of work; assists with scheduling; provides technical assistance and training.

  • Plans, coordinates, and facilitates meetings.

  • Review documents, files, records, etc. to determine action to be taken.

  • Resolves some light computer/network problems.

  • Responsible for program integrity assurance.

  • Provides a review and evaluation function to ensure that compliance issues/concerns within the organization are being appropriately evaluated, investigated and resolved.

  • Develops/implements corrective action plans for resolution of problematic issues, and provides general guidance on how to avoid or deal with similar situations in the future.

  • Request and receive bid quotes, researching and resolving issues with vendors.

  • Maintains database information.

  • Creates and edits reports & documents for management.

  • Manages schedules and timelines for managers.

  • Management and oversight of all office equipment and supplies.

  • Responsible for processing, maintenance, and quality control of records and documents.

  • Compiles vital information.

  • Coordinates program functions between a variety of sources.

  • May assist with general maintenance tasks and also escort contractors within and around prison grounds.

  • Responsible for ensuring a safe and enjoyable workplace, including participation in initiatives designed to promote a positive work environment.

Qualifications

KNOWLEDGE:

  • Knowledge in applicable computer applications.

  • Knowledge of records processing and maintenance procedures and systems.

  • Knowledge in the preparation of complicated documents.

  • Knowledge and understanding of the agency, and each respective division/program.

  • Knowledge of investigating alleged non-compliance.

  • Knowledge of project management.

MINIMUM QUALIFICATIONS:

Education:

Associate's Degree (typically in Business)

Experience:

0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

PHYSICAL WORKING CONDITIONS:

  • Lifting/grasping up to 20 pounds without assistance on an occasional to regular basis

  • Walking on cement floors on an occasional to regular basis

  • Walking up and down stairs on an occasional basis

  • Stooping, bending, kneeling, crouching on an occasional basis

  • May work outdoors in a variety of weather conditions

  • Reaching on a regular basis

  • Typing/Repetitive motion on a frequent basis

  • Talking/hearing on a frequent basis

  • Seeing: the visual ability to perform an activity such as analyzing data and figures, viewing a computer terminal, or extensive reading.
