Position Summary

Xylem/ Evoqua Water Technologies is searching for an Executive Assistant to support our VP of Finance and VP/GM of our Water Solutions and Services segment. This role will also work as an Office Administrator for our office in Lawrenceville, PA and will require an on site presence. This position requires an experienced, self-directed and professional individual that can handle multiple tasks, work independently, maintain a high degree of confidentiality with sensitive information, and be flexible to an ever-changing and fast-paced environment. The individual must be comfortable working closely with members of senior management, corporate department heads and international colleagues while also being willing to act as a point of contact for office visitors and prepare conference rooms for meetings.

Core Responsibilities and Tasks

  • Responsible for coordinating the schedules of two VPs including calendar management, organizing travel, meetings, and other appointments.

  • Coordinates event & meeting logistics for the office including, but not limited to, agenda planning, securing event space and overnight accommodations, audio visual needs, catering needs, and all other materials needed.

  • Prepares expense reports and ensures they are accurate and submitted in a timely manner.

  • Screens phone calls, opens and sorts mail, and summarizes reports and memos that are received before passing the information on to the appropriate contacts.

  • Writes letters and memos, compiles data for reports, creates executive presentations, writes reports, edits, proofreads and other information preparation responsibilities.

  • Data analysis, using a combination of computer and critical thinking skills.

  • Maintains customer confidence and protects operations by keeping information confidential or maintain proprietary information.

  • Maintains the highest degree of discretion and confidentiality protecting both the company’s and customers’ information whether verbal, written or proprietary.

  • Completes a variety of tasks as assigned.

Position Requirements

  • Required: High School Diploma or equivalent ; Preferred: Associates Degree or Bachelor’s

  • 8+ years of executive level support experience

  • Experience planning and coordinating office events

  • Strong communication skills Strong Project Management skills

  • High degree of proficiency in MS Word, MS Excel, MS PowerPoint, MS Outlook Excellent written, verbal and problem-solving skills

  • Proven capability to work very well in a team environment

Salary range:

$39,500.00 - $63,000.00
