    Position Summary

    The Physician Assistant (PA) Program Administrative and Admissions Coordinator is responsible for the coordination of the admissions department of the PA Program and contributing to the overall development, management and policy maintenance of the admissions and fair practices. The Program Administrative and Admissions Coordinator also assists the Program Director and faculty in the administrative processes and special projects for the program.

    Responsibilities

    Admissions Responsibilities

  • Guide interested students through the application process and prepare accepted students to matriculate.

  • Plan and participate in program recruitment activities and will act as a liaison with the Admissions office.

  • Coordinate the program’s admissions self-assessment process to ensure effectiveness and compliance with accreditation standards

  • Process program applications, manage admissions files, schedule and facilitate interviews, and notify and process accepted students.

  • Adhere to University and ARC-PA policies and procedures for fair practice and admissions.

  • Give in-person and virtual presentations to groups interested in the PA profession and serve on graduate school panels at different universities across the state.

  • Attend graduate school fairs and health fairs to recruit prospective students.

  • Maintain and initiate contact with pre-health advisors at institutions across the state and country.

  • Screen and evaluate all CASPA applications.

    Administrative Responsibilities

  • Maintains program calendars for the Program Director and faculty.

  • Participate and assist with the program’s on-going self-assessment and accreditation process through the Accreditation Review Commission on Education for the Physician Assistant (ARC- PA).

  • Communicate with community partners regarding program activities and partnerships.

  • Maintain routine correspondence with internal and external organizations.

  • Maintain files, minutes, information databases, and other tracking systems as necessary.

  • Assist with collection and analysis of graduate data.

  • Maintain a professional and aesthetically pleasing environment

  • Maintain a high degree of confidentiality regarding the business of the University and its programs

  • Type minutes and reports of committee meetings as well as professional correspondence, reference letters and memos as directed

  • Provide prompt courteous service to students, staff, faculty, and administration

  • Participate in and promote a culture of continuing quality improvement

  • Other responsibilities as assigned by the program director.

    Qualifications

  • 2-3 years of related experience to include appointment setting, interviewing, relationship building, client services, commitment to follow-up skills, coordinating programs and events, etc. Experience in college admissions is preferred.

  • Any equivalent combination of education and experience

  • Passionate about helping others achieve their educational and career goals

  • Excellent customer service skills; to include the ability to effectively follow up and follow through

  • Effective oral and written communication skills

  • Effective computer skills

  • Demonstrated ability to work effectively both independently as well as part of a team

  • Strong, consumer/student-oriented interpersonal skills and database management experience are essential as this position requires extensive contact with staff, faculty, students and prospective students.
