JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Department of Astronomy and Astrophysics (https://science.psu.edu/astro) is seeking an Academic Program Coordinator (Intermediate Support) to assist with the coordination and administration of various facets of the department’s graduate program and to provide support to its Associate Head and to the Chair of the Graduate Admissions Committee.

Responsibilities include but are not limited to the following:

  • Act as the main point of contact, commencing with the application process through graduation.

  • Coordinate the graduate student recruitment and admissions process; respond to prospective student inquiries; arrange campus visits and events (travel, lodging, group meals); monitor and update GRADS for applicants; and plan and coordinate the new student orientation.

  • Assist students in course-related functions such as drop, add, and scheduling. Answer curriculum and graduation requirement questions.

  • Prepare and submit graduate student scholarships, fellowships, and appointments each semester.

  • Maintain graduate student records and ensure accuracy and compliance with policies, retention schedules, and FERPA requirements.

  • Monitor and update student progress toward achieving critical milestones, schedule all comprehensive exams and dissertation defenses, and file the appropriate documentation with The Graduate School.

  • Create and maintain spreadsheets collecting student data for internal and external reporting.

  • Assist with revisions to the graduate program handbooks and communicate with graduate students about deadlines, policies, and procedures.

  • Schedule courses, maintain course information, schedule classrooms and exams, and coordinate SEEQs.

  • Assist new students with the onboarding transition and office accommodations.

  • Provide backup support to other administrative staff and the administrative manager as needed.

Education and Experience:

Requires a high school diploma or higher plus two years of relevant experience, or an equivalent combination of education and experience.

Proficiency in Office 365 (particularly Word, Excel, Teams, and Outlook) and Adobe Acrobat is required. A working knowledge of Penn State’s LionPATH, CollegeNet, the Graduate Admissions Decision System (GRADS), and WorkLion systems and of the Graduate School’s policies and procedures is preferred. The successful candidate must be highly motivated and exhibit a high degree of professionalism and initiative with a strong commitment to diversity, equity, respect, and inclusion. Attention to detail, organization, and interpersonal skills, and the ability to manage deadlines is critical, as is the ability to work independently and in a team environment. Outstanding communication skills, both oral and written, are required.

The salary range for this position, including all possible grades is:

$38,300.00 - $55,500.00
