Robert Half Administrative Assistant in Union City, California

Description We are seeking an Administrative Assistant, based in Union City, California, to support a finance department.

As an Administrative Assistant, you will be responsible for handling front desk duties, providing customer service, managing administrative tasks, and assisting with financial reports.

This role is anticipated to last 90-120 days and could lead to a permanent position. Schedule: 9/80 Schedule- M-Thurs 8am-6pm and every other Friday 8am-5pm (every other Friday off) with 1 hour lunch 100% onsite

Responsibilities include:

• Handling inbound and outbound department calls and managing email correspondence. • Providing excellent customer service to both internal and external stakeholders. • Performing data entry tasks with high accuracy. • Utilizing Microsoft Office suite (Excel, Outlook, PowerPoint, Word) to manage and organize data. • Assisting with the processing of retiree payments and invoices. • Scanning and processing various documents for the finance department. • Managing the receptionist duties, including greeting visitors and scheduling appointments. • Assisting in the preparation of financial reports as needed. • Filing documents in an organized and timely manner. • Ensuring all tasks are completed in adherence to company's policies and procedures. Requirements • Minimum of 1+ years of experience as an Administrative Assistant or similar role

• Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)

• Experience in managing inbound and outbound calls

• Demonstrated ability in providing exceptional customer service

• Proficiency in data entry tasks

• Experience in handling email correspondence in a detail oriented setting

• Ability to schedule appointments and manage calendars effectively

• Experience in receptionist duties, including welcoming visitors and directing them appropriately

• Ability in performing filing and record-keeping tasks

• Experience in scanning and managing documents

• Proven ability to work independently and as part of a team

• Excellent organizational skills, with an ability to prioritize important projects

• Strong written and verbal communication skills

• High school diploma or equivalent required. Higher education or certifications are a plus.
