TEKsystems Operations Specialist in Toronto, Ontario
Our client, a Big 5 bank, is currently looking to hire for a Wealth Operations Specialist to join their team in Toronto, ON. The ideal candidate should have at least 6 months working in wealth management in a middle office or back office SLA driven environment.
Title: Wealth Investment Operations Specialist
Location: Toronto, ON
Hybrid Model: Twice a week in the office.
Shift: Must be available for a shift assigned between 8am-7:30pm EST.
Duration: 6 months + potential extension / conversion to permanent
Pay: $22 - $24/hr
Reason for the opening: This role sits within the investment product team. This team has an uptick in volume of work related to RSP season, so they need to hire additional help.
Day-day summary: They are responsible for processing non-financial and financial transactions. Each agent will get a set number of items to work on. They will need to review each transaction for in good order requirements, place trades/update information on the administration system, They will have set tasks/productivity to do daily. They will go through a ticketing platform and work through a queue of action items. This could be going through tickets/ documentation, etc.. They are also doing some data entry work and will track requests coming in (what types of requests, is it escalations, general questions, etc.).
Responsibilities:
• Gathers and formats data into regular and ad-hoc reports, and dashboards.
• Supports change management of varying scope and type; tasks typically focused on execution and sustainment activities.
• May function as a problem-solving resource for more junior staff.
• Organizes work information to ensure accuracy and completeness.
• Reviews all work items to ensure all in good order requirements have been received.
• Handles written correspondence to advisors for cases requiring clarification or further documentation
• Executes routine tasks such as service requests, transactions, queries, etc. within relevant service level agreements.
• Provides accurate and timely processing of transactions, activities, services, etc. to respond to stakeholder requests in compliance with regulatory and risk controls.
• Provides accurate, consistent, and knowledgeable responses to internal/external stakeholder questions and requests.
• Follows documented policies and procedures to execute day-to-day transactions, activities, processes and meet all Service Level Agreements (SLAs).
• Checks and reconciles information and documentation to ensure accuracy and completeness.
• Analyzes data and information to provide insights and recommendations.
• Identifies and analyzes issues and problems and resolves in a timely manner or escalates as required.
• Communicates and collaborates with internal and external stakeholders to deliver on business objectives.
• Develops and maintains effective relationships with internal and external stakeholders to execute work and fulfill service delivery expectations.
• Develops and maintains an understanding of the regulatory requirements and risks inherent in the operations to take appropriate actions and maintain operational integrity.
• Collaborates in the development / implementation of new processes/systems and changes / improvements to existing systems and processes.
• Supports the development of tools and delivery of training focused on delivering business results.
• Completes complex & diverse tasks within given rules/limits and may include handling escalations from other employees.
• Analyzes issues and determines next steps.
• Broader work or accountabilities may be assigned as needed.
Must Have Experience:
1) Wealth Operations Experience from a bank or wealth institution (Ideally 6+ months)
2) MS Office (Excel, Word, PPT, teams)
3) Strong communication skills (Verbal & Written).
4) Knowledge of Segregated Funds administration (preferred)
Technical skills:
1) MS office (Word, excel, ppt, outlook, one drive. Use MS teams. Short keys on keyboard, Ex: how to screen shot)
2) Using MS teams (Can you get into the meeting, can you use the chat function, do you understand how teams tracks your status, etc).
3) Knowledge of Unitrax system (preferred)
Performance Expectations: It's important to multi-task. They have a metrics / KPIs system. This will tell the manager how the employee is performing. They also do some QA (assess quality of work). QA is done on a portion of tickets. Overall, they want to hit their productivity goals. The dashboard will show how many items this person is measured on. They can track processing time, error rates, etc. The speed to resolve and accuracy are both important.
