UTHealth Houston is seeking an Internship Coordinator in our Sponsored Projects Administration department. This employee coordinates all logistical aspects of the Research Administration Internship Program to ensure successful training and mentorship of interns. In large part, this is an administrative function. They will manage the program's day-to-day operations to keep the program running smoothly. Ensures on-time delivery of program content, manages budget, and provides high-quality standards of all materials, communications, and information. Supports the Training Director with the delivery of the program. You will schedule meetings, manage calendars, and gather reports.The area is responsible for research administration and awards management, so having a higher education and research background would be an advantage. You should have at least two years of experience in running a program or a department or some administrative experience that aligns with the skills needed for this role.

This role will report on-site to our University Center Tower in the Texas Medical Center. It is a full-time position and eligible for all UTHealth Houston benefits.

Position Key Accountabilities:

Essential Functions

  • Performs all administrative duties required to provide an outstanding experience for the interns.

  • Maintains complex schedules for interns, trainers, guest speakers, mentors, and various meetings.

  • Prepares and distributes all program and training materials. Maintains uniform style for all materials, communications, and presentations.

  • Collects and organizes all program evaluation materials.

  • Arrange all internship candidate interviews, travel, relocation as needed, and onboarding.

  • Assists with planning events to promote internship opportunities.

  • Confirms all attendance, rooms, audio-visual, etc., for all training sessions.

  • Tracks and processes all payments and reimbursements related to the internship program.

  • May assist with data collection and preparing progress reports.

  • Updates and maintains the SPA website to promote internship opportunities.

  • Performs other duties as assigned.

Certification/Skills:

  • Excellent communication skills, both oral and written.

  • Outstanding customer relations skills.

  • Strong organizational skills.

  • Excellent computer skills with strong working knowledge of Word, Excel, PowerPoint, and Teams/Zoom.

  • Flexible and adaptable to complete a high volume of varied responsibilities and thrive while working both independently and collaboratively.

Minimum Education:

High School Diploma or equivalent required

Minimum Experience:

At least two years working on program coordination or an administrative role is required

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Residency Requirement:
