DIVISION OF BLIND SERVICES

LOCATION: TALLAHASSEE (LEON COUNTY)

THIS IS A STATE OF FLORIDA SELECTED EXEMPT SERVICE(SES) POSITION.

Job Description:

The incumbent serving in this role will be a highly responsible individual who consults with program supervisors and administrative staff to resolve programmatic, administrative, and operational issues and problems. The incumbent independently assists the Director of the Division of Blind Services with the coordination of administrative tasks and/or assignments, which are sometimes complex in nature and very diverse in objectives and functions. The incumbent independently performs complex administrative activities and serves as the personal assistant to the Director by planning, initiating, and carrying out assignments and duties to completion.

Examples of Work:

  • Participates in activities to promote the Division and expand services, and provides technical assistance in conducting conferences, seminars, and workshops.

  • Coordinates responses to internal and external inquiries, both verbally and in writing, involving policies, procedures, and legislative matters which require the interpretation of policies and procedures.

  • Reviews all Division work products prior to the Director's signature.

  • Assists the Director with daily communication with management staff, administrative staff, and organizations of and for the blind and visually impaired.

  • Serves as timekeeper for the Division's State Office.

  • Ensures all correspondence, telephone calls, employee and public concerns are directed to the most appropriate staff member within the Division.

  • Receives, records and processes refunds and donation checks and bequests, including following up on correspondence and maintenance of Division files.

  • Maintains files and records as required by the Director.

  • Researches and provides background information to the Director on special projects and/or activities that require his/her attention.

  • Conveys and distributes information from the Director to Division staff, as needed.

  • Makes materials accessible to the Director.

  • Prioritizes and schedules appointments, meetings, and maintains the Director's calendar.

  • Creates and distributes agendas and minutes of the Director's meetings.

  • Creates and processes travel arrangements for the Director and Division staff as needed.

  • Reviews all Division travel requests for accuracy and submits to FDOE Leadership as well as tracks the progress of travel requests.

  • Provides instruction and support to administrative employees concerning leave, travel, purchase orders, and other matters related to operational procedures.

  • Assists with other duties for the Director and Division as needed.

  • Travel may be required.

  • May be required to supervise OPS employees as needed.

    Knowledge, Skills and Abilities:

  • Must be self-motivated.

  • Must have the ability to work as a Team Player.

  • Must have excellent independent worker skills.

  • Must be proficient in the use of the Microsoft Office Suite of programs and applications, including Word, Excel, Powerpoint, and Outlook.

  • Must be able to utilize a fax machine, copier, scanner, and shredder.

  • Ability to prepare correspondence.

  • Ability to produce administrative reports and spreadsheets.

  • Ability to communicate effectively.

  • Ability to establish and maintain effective working relationships with others.

  • Ability to maintain confidentiality at all times.
