Position Overview and Responsibilities

The selected candidate will report directly to the Bureau Chief of Capitol Complex Operations and is responsible for providing administrative support. This role requires the ability to research and gather data, prepare written reports, independently initiate projects, interpret policy, and support the Bureau Chief. Additionally the selected candidate, like all DMS employees, is as a representative of the Department when dealing with agency tenants, clients, and the public. The Admin Assistant is responsible for supporting division leadership and maintenance staff, processing purchase orders, and procurement card orders. Additional responsibilities include, but are not limited to, the following:

  • Receive and process daily mail, ensuring that it is reviewed and routed accordingly.

  • Receive and process travel reimbursement vouchers for staff’s travel.

  • Maintain office files, processing all paperwork.

  • Assist with compiling data and completing forms for monthly operating reports.

  • Process personnel information as required.

  • Serves as the point of contact for the DMS office at the Capitol.

  • Order and maintain office supplies.

  • Coordinate the collection and presentation of data for use in preparation of budgets.

  • Keep track of spreadsheets as directed for budget control.

  • Receive requisitions and process them through E Procurement System as applicable. Obtain and processes phone quotations for building repairs, materials, or services from vendors for all facilities.

  • Follow up on status of orders, ensuring their completion and approval in a timely manner.

  • Prepare and process daily transmittals for VISA payments to vendors for all sites.

  • Process and coordinate tenant signage requests.

  • Process paid parking contracts and assigns parking cards to the building tenants.

    Minimum Qualifications:

  • Three years of secretarial or clerical work experience.

  • Intermediate to advanced experience with Microsoft Office Suite.
