About the role
The Workplace Services Office and Concierge Coordinator will be in the Sydney office, conveniently situated in the central CBD, less than a 5-minute walk from Wynyard Station. This role embodies a professional and positive approach to fostering excellent workplace environments and services. Key responsibilities include managing operational office services, such as concierge duties, catering coordination, event planning, overseeing daily office operations in Sydney, and promoting best practices for workplace excellence.
This role reports into the Manager for Workplace Services APAC.
Key responsibilities:
• Front Desk Coordination - Greet and assist visitors and customers with professionalism and warmth.
• Coordinating day to day operations and ensuring office aesthetics are best in class.
• Provide a professional, 5 star best in class, comprehensive assistance in all concierge tasks for U Krewers and supporting regular onsite customer meetings.
• Assist in coordinating and managing food and catering services as needed.
• Ensure office spaces, including meeting rooms, kitchen areas, and common areas, are kept clean, organized, and well-maintained.
• Handling of all mail correspondence in the office, including promptly directing physical mail to appropriate recipients, efficiently process incoming and outgoing mail and packages and assisting with shipping and receiving courier services.
• Oversee office supplies inventory by placing orders and ensuring timely delivery, while maintaining accurate records and prioritizing waste reduction.
• Manage costs ensuring in line with the approved budget.
• Coordinating with other stakeholders for WPS events team activities, events, and initiatives.
• Work with landlord/vendors to ensure office space is kept up to standards with all compliances.
• Provide general support to visitors, and reception services as needed.
• Respond to employee queries and manage incoming iOFFICE UKG Workplace tickets.
• Managing Health & Safety requirements and ensuring compliance with local laws.
• Assist on regional projects.
• Oversee the management of building security access cards and preparing new cards.
• Process P-card/credit card transactions via Concur.
• Assist with managing invoices by providing Accounts Payable with necessary details.
• Assisting with invoices via mailbox and providing AP with the relevant details.
• Assist in IT-related tasks as needed.
• Travel as required to support office or customer-related activities.
Qualifications
• Degree level – Graduate/ Undergraduate
• Proficiency in Microsoft office suite (Word, Excel, Outlook, SharePoint, and PowerPoint).
• Demonstrate excellent customer service.
• Demonstrated efficient work methods and an ability to handle multiple tasks in a fast-paced and challenging environment.
• Highly organized, worker that works well without supervision.
• Must be a team player with excellent organizational and multitasking abilities.
• Excellent verbal & written communication skills.
