Associated Eye Care, LTD Health Information (HIM) Supervisor in Stillwater, Minnesota

This position will provide support and leadership to the department while working closely with their manager. HIM Supervisor Essential Functions Supports the day-to-day operations of HIM; PTO, timesheets, schedules, etc. Maintains a working knowledge of all department positions. Accurately completes template changes for APP clients within Practice Management System, including blocking/closing schedules, applying templates and daily appointment conversions to maximize patient access and provider efficiency. rebuilding templates to best fit growing practice needs for providers, staffing, and patient access. Maintains current information and documentation regarding changes to provider daily templates. Serves as a leader to the department through support and motivation as well as being a resource for questions and concerns. Utilizes internal reports to evaluate staff performance and gives timely feedback to staff members regarding their performance. Develops clear action plans for immediate and future development of each staff member, communicating concerns with HIM Manager when performance is not meeting expectations. Strives to create efficiencies through continued analysis of workflow and software/hardware technologies. Participates in hiring, orientation, performance evaluations of HIM employees. Assist department leadership by performing project-related work, as needed, or requested. Prepare and distribute weekly, monthly, and ad-hoc business object reports in accordance with established guidelines and procedures or as requested. Communicates issues, resolutions and best practices to team members and leadership. Acts as liaison to MTS support for issues related to the system. Answers phone calls in a professional and courteous manner, assisting patients and providers with questions and concerns. Manages complaints, customer service issues and internal conflict resolution and escalates to HIM Manager as needed. HIM Representative Essential Functions Supports APP client Health Information needs. Processes including, but not limited to the following. o Incoming Consults: Utilizes the established process including pre-registration for all new incoming referrals. Processes Including, but not limited to the following. o Outgoing Consults: Completes transition of care paperwork, obtains prior authorization from insurance company, and schedules appointments with outside provider/facilities. o Prepares and scans medical records into electronic format utilizing established process. o Answers phones, process chart requests o Works with clinic and administrative personnel to coordinate and facilitate efficient flow of patient health information throughout the organization. o Supports Patient Portal: Enroll/Un-enroll patients, respond to portal communication, provide technical support to patients over the phone. o Assists with administrative office functions, such as sorting mail and items in pouches, etc. o Compiles processes and maintains patient health information in a manner consistent with medical, administrative, ethical, legal and regulatory requirements of practice in a timely manner. Other Essential Functions Must present self at the workstation, ready for work, at the scheduled time. Must be available to work outside of regular working hours on occasion and able to travel to other AEC offices as needed. Participates in department and other company meetings, as requested. Performs other duties as assigned.
