Job Description

The Assistant Director of Operations, under general direction of the Executive Director and Associate Director of Financial Aid, is accountable for performing daily activities of a professional financial aid administrator and provides lead technical support for the financial aid management system. The Assistant Director assists and trains financial aid staff and student workers with processing questions. Work hours are Mon-Fri 8:00am-5:00pm or as work requirements indicate with occasional before/after hours during peak times, as well as occasional Saturday events.

Must have the ability to work remotely at the request of the university in times of inclement weather or other special circumstances.

Duties and Responsibilities:

  • Performs management responsibilities for at least three full time staff members to ensure accurate and timely processing of all federal, state, and institutional aid programs

  • Acts as liaison to COD and NSLDS

  • Stays up to date on the ever-changing financial aid environment and monitors changes to federal and state regulations

  • Troubles shoots the day-to-day functional processing for all financial aid operations

  • Maintains monthly reconciliation of federal and state financial aid accounts

  • Assists Executive Director and Associate Director with state reporting and assists with internal and external audits

  • Provides oversight to the hiring process, employee training, performance management and personnel compliance of the position's direct reports

  • Adheres to the Title IV rules associated with all financial aid programs and THECB for state programs

  • Assists with training and compliance for staff, including the updating of policies, procedures, and training guides with Senior Processing staff, Assistant Director of Client Services, Associate Director, and Executive Director of Financial Aid

  • Manages two large grant programs: Texas Grant and Promise Grant programs to ensure timely and accurate processing

  • Represents the Office of Financial Aid as an active participating member of various university committees

  • Continues professional development through attendance of financial aid conferences and webinars

  • Processes Ad Hoc reports, Drop for Non-pay workflow and other reports as needed

  • Assists as needed with student appointments, events, and outreach

    Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience; required.

  • Six years of related experience in higher education including experience in financial aid; required.

  • Experience with Ellucian Banner Student Information System is preferred.

    Knowledge, Skills and Abilities:

  • Ability to meet deadlines and maintain a high level of accuracy, professionalism and a customer service mindset.

  • Knowledge of financial aid counseling, verification, rules and regulations.

  • Working knowledge of word processing and spreadsheet programs.

  • Ability to work individually or as a team in a dynamic organization.

  • Good interpersonal communication skills.

  • Must be literate in the English language and able to comprehend, give and follow both written and verbal instructions.

  • Ability to organize and make decisions.

  • Ability to relate well with a diverse student population.

  • Ability to work well under pressure.

  • Ability to use tact, diplomacy, and judgment in dealing with all customers.

  • Ability to multi-task and work cooperatively with others.

Salary

Commensurate with experience

Salary Range

The target base annual salary range is $53,745 to $76,321 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
