Associate Director of Admission Operations Admission Description JOB SUMMARY: The position plays a critical role in the management of Slate by Technolutions, the Admission Office's CRM, bridging the import of prospective student data with its use for recruiting, marketing, and enrollment management. The position is responsible for processing, monitoring, testing, and maintaining data and functionality in Slate. The role is charged with developing the use of Slate functionality within Admission to improve the student and staff experience. Time management, meticulous organizational skills, attention to detail, flexibility, creativity, and the ability to work as a motivated self-starter are critical for success in this position. This role is part of a team that takes a hands-on approach to troubleshooting functional, process, and application-related system issues, and to manage these through to resolution. Employment Type: Full-time (1.0 FTE), Benefits-Eligible, Exempt (Salaried) Salary Range: $50,000-62,000 Depending on experience and qualifications, this position will be filled at either the Assistant or Associate level, with the corresponding salary. DUTIES AND RESPONSIBILITIES: Database Management As a "Slate Captain," serve as a primary liaison for the Admission Office and other Slate users. Assist with exporting and verifying exported data from Slate to the College's SIS, Colleague by Ellucian. Build and properly map forms (including applications and event registration forms) in Slate. Research and test new functionality as it is developed, remaining current with Slate developments. Provide recommendations for improvement, and communicate any system changes, upgrades, issues, or clarifications to end users. Understand every component of Slate functionality, including Records, Queries, Reader, Deliver, Inbox, Forms, Events, and Database management, performing related duties as assigned. Data Processing and Quality Assurance Support enrollment goals by ensuring prospective student data imports accurately and is uploaded on a timely basis. Oversee record management to ensure data integrity. Develop and implement data retention policies to reduce risk and improve CRM performance. Conduct and support data processing and duplicate record consolidation. Update or create the source formats for importing prospective student data. Set up and maintain automated imports, making sure the data is flowing smoothly. Manage admission and financial aid decision processing and release. Queries, Reports, and Portals As requested, create queries and reports using Slate (for CRM-held data) or Informer (for SIS-held data). Create or confirm mailing list recipients and approve mailings for delivery. Develop standard queries and library resources for staff use. Provide training for staff, supporting their ability to create their own queries. Update existing portals, which often include complex queries. Create new portals, for data-sharing with campus partners and prospective students. Support and Training Provide first-level support for all CRM-related inquiries by collecting necessary details, triaging the requests, and diagnosing any issues. Act as an escalation point to communicate urgent and/or complex CRM issues to the operations team. Utilize the Slate community and other resources to solve problems and improve Gustavus' use of Slate. Create and deliver end-user training/documentation and develop ongoing assessment to ensure consistent use of system tools.
