This position serves as the primary Administrative Assistant for the Appeals Division at the Department of Human Services (DHS). It will support the division’s management team and all staff. This position assists the Appeals Administrator with performing specialized administrative functions, centralized communications, Technical Services Liaison (TSL) duties and all other basic office functions. The incumbent in this position independently plans, organizes and performs special assignments and services. The position establishes and implements practices and procedures that support the work of the entire division.

Responsibilities include but may not be limited to:

  • Performs specialized administrativefunctions fortheAppeals Division managers/supervisors and administrativeteamto efficientlyandeffectively carry out the work of the division and ensurethatdeadlinesaremetwithhighquality outcomes.

  • Functionsasthecentralizedcommunicationresource for the AppealsDivision.

  • Technical Services Liaison support - provides the first point of contact for all general technical issues for division staff.

Minimum Qualifications

  • Customer service skills sufficient to provide prompt, courteous, and accurate information to internal and external stakeholders via email, in person, or over the phone.

  • Use of word processing skills to prepare, edit, and finalize emails, correspondence, records and reports; write and edit a variety of documents that are grammatically correct, in proper format, and free of errors in spelling, grammar, and punctuation.

  • English language skills in writing, speaking, and reading sufficient to compose correspondence with accurate spelling, grammar, and punctuation and to effectively communicate with internal and external stakeholders.

Preferred Qualifications

  • Knowledge of DHS Appeals division policies and procedures sufficient to answer questions and prepare written responses for the Appeals program/Appeals Administrator and other division management.

  • Knowledgeandunderstanding of data privacy limitations and constraints are essential.

  • Excellent organizational skills as well as project management skills and the ability to coordinate/prioritize several, complex, on-going activities at once.

  • Ability to organize ideas, prioritize work, meet deadlines, be self-directed and work independently and as a member of a team. Maintaining a professional presence.

  • Variety of experiences working effectively with others from different backgrounds and cultures.
