Interstate Van Lines HR Coordinator in Springfield, Virginia
SUMMARY
The Human Resources Coordinator provides functional services in support of the day-to-day operations of the Human Resources Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following. Other duties may be assigned.
Provide administrative support to HR department, including but not limited to answering the department phones, greeting walk-ins, managing department inventory, and general administrative functions.
Process required background tests and drug tests.
Prepare Welcome email, offer letters and send out on-boarding documents. Track check list, pre- fill documents and set-up orientation folders.
Assist orientation meeting working with Generalist to ensure smooth, professional orientation days. Coordinate orientation breakfast and lunches.
Collect all new hire paperwork and review for completion. Process all new hires through e-Verify program. Prepare employee ID badges and picture for company picture board.
Process and track expense reimbursements and all other requirements for H2B program.
Maintain employee information in ADP Workforce Now, IMIS, and e-time HRM system.
Create and maintain personnel file folders for all employees and contractors using check list and audit sheet to ensure proper set-up and capture of all required documents.
Work with HR Generalist to prepare payroll pre-audit in timely manner.
Track and process payments for programs such as gym reimbursements, employee referral bonuses, and professional development program.
Maintain the Service Award Program to include running monthly anniversary report and sending out required awards. Audit birthday/anniversary report from IT.

QUALIFICATIONS:

SPECIAL SKILLS AND ABILITIES
Minimum requirement in Microsoft Outlook, Word, Excel and PowerPoint of intermediate to advanced level.
Previous ADP payroll experience highly preferred. System experience required.
Ability to communicate effectively, both verbally and written, multi-task, and prioritize as needed.
Must be accurate and detail-oriented.
Strong knowledge and understanding of general HR and best practices through education or job experience.
EDUCATION and/or EXPERIENCE:
Bachelor’s degree required.
One (1) to three (3) years of HR experience.
Equivalent combination of education and experience will be considered in lieu of above requirements.
CERTIFICATES, LICENSES, REGISTRATIONS
Professional in Human Resources (PHR) Certification or SHRM-CP certification preferred.
LANGUAGE SKILLS:
Ability to read, analyze, and interpret company policies and procedures. Ability to write reports, business correspondence, and assist in writing procedural manuals. Ability to effectively present information and respond to questions from employees. Bilingual a plus.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide. Calculates hourly rates of pay based on annual compensation.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
