The College of Education Administration has an outstanding opportunity for a Grants and Finance Specialist to join their team.

Our dynamic team provides centralized financial, human resources, administrative, and operational support to the faculty, staff, and students at the College of Education, and the external community.

We have an outstanding opportunity for a Finance Manager to join our shared services environment, specifically supporting the Norris and Dorothy Haring Center (HC) for Applied Research and Training in Education. Established in 2009, the Haring Center continues a legacy of over 40 years of groundbreaking work in special education at the Experimental Education Unit. The Haring Center is a leader in developing, implementing, evaluating, and disseminating strategies to support inclusive educational services for young children with and without disabilities.

Reporting to the Director of Research Administration, this position will be responsible for financial management of a variety of funding sources while working independently with minimal direction and demonstrating excellent judgment with knowledge and understanding of financial processes, including budgeting, grant proposal preparation and submission, and financial reporting. In addition, this position must independently communicate and work effectively with a broad spectrum of people both on and off campus, including multiple levels of university officials, faculty, staff, funding agency officials, federal and state employees, private businesses, community organizations, and foundation sponsors and their representatives. This role requires someone who can be creative, share ideas, and work effectively as part of the HC and College team.

This position is a hybrid position, requiring at least 2 in-person days at the Haring Center. There is no relocation support for this position. DUTIES AND RESPONSIBILITIES Financial Management (70%):

  • Manage all HC grant and non-grant funding sources, including grants, contracts, self-sustaining funds, state funds, program funds, endowments/gifts, discretionary funds, and RCR (Research Cost Recovery) funds.

  • In collaboration with the Director of Research Administration, manage the proposal process from start to finish ensuring that all sponsor requirements are adhered to; create all administrative proposal documents, upload all proposal documents via sponsor websites, and obtain verification of successful application transmittal to sponsor.

  • Collaborate with the Shared Environment for Accounting Services to create and maintain standardized monthly reporting for all HC funding sources.

  • Provide financial information, advice, and guidance to principal investigators (PIs) or unit leads on financial and budgetary matters.

  • Represent HC and the College with Office of Sponsored Programs (OSP), Grants and Contract Accounting (GCA), and other university departments.

  • Manage grants and contracts from pre-award issues through closings, including completing and submitting all required financial reports.

  • Identify, investigate, and resolve problems related to research grants and contracts at various levels of the university and with external sponsors.

  • Serve as a technical expert on grant, contract, and financial administration for HC principal investigators, leadership and staff, providing direct consultation and advice.

  • Ensure UW Effort Reports and Cost Share reports are completed and signed promptly.

  • Ensure grant acquisitions and expenditures comply with UW and federal requirements and audit standards.

  • Design and implement comprehensive summary reports for HC of all awarded grants, contracts, and other funded projects.

  • Collaborate with the Director of Research Administration and Director of FinOps to maintain and improve grant, cost share, and other financial administrative systems and procedures.Haring Center Administration (30%):

  • Maintain the salary and effort system (OFEE), forecast fiscal needs and commitments, and develop long-term planning documents.

  • Submit new appointment requests into the college’s hiring database on behalf of hiring managers and PIs.

  • Provide accurate and timely costing allocation information to the accounting services team and ensure costing allocations in Workday are submitted within payroll period deadlines and aligned with the appropriate project effort.

  • Ensure adherence to university, college, and federal policies and procedures for financial management and budget creation.

  • Attend administrative meetings and participate in College and UW meetings for grant managers, College staff meetings, internal finance meetings and team huddles.

  • Continually learn and disseminate best practices and new requirements for grants and contracts to faculty and staff.

  • Keep up to date with regulatory standards and industry changes, ensuring compliance with human subjects and research requirements.

  • Perform related duties as required. MINIMUM REQUIREMENTS

  • Bachelor’s degree and at least two years of experience in finance. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience creating and managing financial spreadsheets and reports.

  • Familiarity with budgetary policies and procedures and federal grant and contract policies and procedures.

  • Experience with pre-award and/or post-award budget development and management.

  • Experience working independently, setting work priorities, and managing details and multiple tasks.

  • Ability to work efficiently and effectively in a fast-paced, financially complex environment.

  • Ability to be detail-oriented, organized, creative, nimble, efficient, flexible, and collaborative while working within university regulations.

  • Excellent written and verbal communication skills are required to work closely with staff, faculty, and sponsors to facilitate effective project and budget management.

  • Advanced Excel/Google Sheets skills.

  • Strong orientation towards providing excellent customer service. DESIRED QUALIFICATIONS

  • Familiarity with UW policies and procedures.

  • Experience using UW systems including Workday, SAGE, AwardPortal, or other complex financial systems at other organizations.

  • Experience using project management software such as Asana.

  • Demonstrated experience in innovating administrative systems and partnerships.

  • Proficiency in Microsoft Office Suite software, including Outlook and PowerPoint, and Google Drive products.
