The School of Dentistry has an outstanding opportunity for a Campus Dental Center Manager to join their team.

The UW Dentistry Campus Dental Center (CDC) at the School of Dentistry houses some of the top clinical oral health providers in the school. The clinic supports a dual role: 1) The UW Dentistry Faculty Practice provides high quality comprehensive care to the campus community and general public. Patients of the Faculty Practice benefit from a team of experienced and highly skilled faculty dentists and specialists collaborating on their care. 2) The General Practice Residency (GPR) program supports a training and treatment role serving primarily uninsured and under-insured patients in the GPR Clinic in the school, as well as medically compromised in-patients at UWMC. Dental services in the GPR Clinic are provided by GPR residents under the supervision of highly trained and skilled faculty members. Patients can be assured they are receiving high quality dental care from faculty and residents in a first-rate training environment.

POSITION PURPOSE

The CDC Manager reports to the Director of Clinical Operations in the Office of Clinical Services and works closely with the faculty directors of the GPR and Faculty Practice to manage the financial and patient operations of the CDC. Responsibilities include ensuring adequate staffing and available chair side assistance; direct supervision of staff, oversight of patient experience and revenue cycle; quality assurance for patients and residents; and sound financial practices through ongoing monitoring of financial and operational performance including assessment, reporting and initiation of follow up actions.

The CDC Manager assists with training of clinic staff and oversight of their performance to ensure adherence to the CDC mission of providing excellent care for patients and quality opportunities and outcomes for residents in training. Job duties include, but are not limited to, management of clinic staff: –hiring, orienting, assigning, and reviewing employee work, coaching, acting on leave requests and timesheets, conducting performance evaluations, and disciplinary processes. This position performs specific leadership activities, program development, problem solving, and patient interactions to promote delivery of quality care and service. The manager regularly collaborates and consults with Directors, Chairs, Administrators, and other School of Dentistry leaders in developing policies and procedures to improve clinic operations and client care. The successful CDC manager will be adept at problem solving, anticipating issues and responding proactively, with savvy business acumen and exemplary communication skills with the ability to maintain a positive attitude with all customers in any situation. A strong change agent champion, able to collaborate cross- functionally across all departments in the school.

DUTIES AND RESPONSIBILITIES Financial and Business Operations Management

  • Business strategy and financial development.

  • Report out on finance and clinic operations and administration.Human Resource Management

  • Leadership of staff and setting an example of professionalism.

  • Supervision of staff (front-desk, patient care coordinator, dental assistants, dental hygienists).

  • Work assignment and performance management for staff.

  • Decision making and problem solving for all staffing issues.

  • Lead hiring of all staff.Clinic Management and Policy

  • Compliance oversight/management.

  • Assign work and supervise front desk staff and patient care coordinator.

  • Patient care and utilization management.

  • Interpretation and utilization of patient management data.

  • Implementation of insurance claim policies and procedures.

  • Patient relations & complaint resolution with patients as a first point of contact.

  • Following up on patient treatment plans with providers.

  • Cover front desk as needed for vacations, leaves, sick calls.Core Competencies

  • Other duties may be assigned as needs are identified. EXPECTED ALLOCATION OF EFFORT Human Resources Management: 30%

  • Provides appropriate day-to-day supervision of clinic front desk and patient care staff. Assigns work, conducts performance evaluations, develops reward and recognition mechanisms, reclassifications, salary adjustments, manages grievances regarding staff performance, and takes disciplinary action, as necessary.

  • Partners with Campus HR Operation units and Dean’s Office HR as internal consultant for recruitment, compensation, employee relations, and bargaining unit initiatives and concerns. The manager will be responsible for ensuring department executives and staff maintain compliance with state laws, university policies, and union contracts at all times. Ensures compliance with all University hiring policies and procedures and acts as liaison with central UW offices.

  • Handles personnel issues including corrective action process. Works pro-actively to ensure all UW policies and procedures are handled during a corrective action process while providing guidance and performance counseling to employees.

  • Conduct staff meetings and disseminate appropriate information to staff.Financial and Business Operations: 20%

  • Monitors monthly review of patient financial records to minimize accounts in arrears.

  • Assists with the annual budget preparation; executes and reviews monthly Axium financial reports.

  • Provides billing information for inquiries from patients, other SOD departments, and third-party payers.

  • Ensures that patient charges and credits are processed on a timely basis.

  • Ensures cash handling processes are followed and transactions reconciled.

  • Provides supervision for staff members responsible for addressing billing issues.Clinic Operations Management: 40%

  • Reviews daily clinic schedules with staff.

  • Identifies opportunities for increasing clinic census and clinic improvement. Identifies, proposes, and designs new policies/procedures; manages implementation and communication of new or changed policies and procedures.

  • Ensures that policies and procedures are updated and followed in coordination with the CDC Faculty Directors and OCS Director of Clinical Operations.

  • Monitors monthly review of patient financial records to minimize accounts in arrears.

  • Ensures that patient and employee incident policies are followed.

  • Ensures that health and safety training is provided to all clinic personnel.

  • Meets with CDC Faculty Directors and department personnel regularly; prepares agenda for monthly clinic meetings.

  • Responds and resolves patient complaints jointly with Patient Relations, OCS Director of Clinical Operations and CDC Faculty Directors when needed.

  • Point person during emergency school closures.Clinic Leadership and Representation: 10%

  • Meet regularly with the OCS Director of Clinical Operations and CDC faculty directors on business development and clinical operations efficiency, effectiveness, and sustainability.

  • Represent the Campus Dental Center as a member of administrative committees and working groups.

  • Communicate financial and other performance results in meetings and multiple settings.

  • Collaborate with other units and departments on improving patient care and administrative management activities.

  • Provide other services and support as needed. MINIMUM REQUIREMENTS

  • Bachelors or Masters degree (business, health administration, social work, psychology, counseling) or a related field.

  • 4 to 5 years of management-level experience in a clinical health care setting or equivalent, including supervision of employees, office management, and policy/procedure development. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Intermediate to advanced computer skills with Microsoft Office suite (including Excel) and patient management database system.
