Admissions has an outstanding opportunity for an Admissions Counseling Services Coordinator to join their team.

The Admissions Counseling Services Coordinator interacts with and counsels students, prospective students, parents, UW Tacoma staff, and other education and related officials regarding the admissions application process. The position oversees the processing and maintenance of incoming application materials for applicants applying to the University of Washington Tacoma. This position also creates reports for planning and use by the Admissions Operations Senior Associate Director. The position requires excellent attention to detail, and must be aware of and adhere to high school, state, and university guidelines.

This individual must be able to articulate the complexities and nuances of the admissions review process to prospective applicants, applicants, students, parents, and staff. This position will direct counseling of prospective, incoming, and current students regarding various time-sensitive and complex issues, such as required documents for completed applications, minimum admission criteria, denied admissions deferment requests, and the process for deferring New Student Enrollment Confirmation and conditional admit criteria. This position will support the Admissions Specialists by overseeing the application setup and document flow process for application review. In addition, this position will participate in the admissions holistic review process and will provide ongoing coaching and training to the recruitment team on the logistics of application processing, including deferments and quarter-of-application changes, how to search for documents, etc. In addition, this position will create procedure guides for the admissions counseling team to assist them when advising prospective applicants and students. This position will oversee and train two student workers.

The Admissions Counseling Services Coordinator serves as a member of the Admissions Operations team within Student Affairs and provides the Admissions Specialists with the ability to review applications and documents promptly and maintain admissions records according to University of Washington standards. Corresponding with applicants, processing transcripts, and maintaining student admissions files are essential to growing new student enrollment and the overall University’s enrollment goals. The position will also connect applicants and students with academic advising, financial aid, and other resources when needed to aid them in enrollment at UW Tacoma and ensure their transition is successful.

DUTIES & RESPONSIBILITIES Counseling and Outreach (50%)

  • Counsel applicants and students regarding the application process for materials, documents received, and admissions requirements.

  • Manage incoming admissions documents and materials.

  • Advise applicants and students to ensure that all acceptance and enrollment materials are obtained and processed and admissions policies and procedures. Advise applicants and students on admissions deferrals and quarter of application changes and New Student Enrollment Confirmation deferment requests.

  • Engage in a variety of problem-solving interactions with UW staff, applicants, and parents.Admissions Management (40%)

  • Design and implement process improvement methods for the admissions process as needed.

  • Create and update admissions procedures guides to ensure compliance with changing regulations and systems.

  • Provide training and support to the recruitment team.

  • Serve as the back-up to the Senior Associate Director for processing related scenarios that requires a decision when Senior Associate Director is out of the office.

  • Prepare data and reports regarding admissions for the Senior Associate Director.

  • Approve and deny admissions deferment and quarter of applicant change requests.

  • Complete admissions records management and file maintenance protocols.

  • Participate as a reader in the admissions holistic review of freshman and transfer applicants.

  • Hire, train, and supervise two part time student workers on scanning and processing documents and materials.Marketing and Communications (5%)

  • Work with the UW Admissions Marketing team, Senior Associate Director and the Assistant Director of Information and Systems to write, produce, and edit communication materials including admit kits, emails and letters to ensure the content is clear, consistent and effective.Other duties as assigned (5%) MINIMUM REQUIREMENTS

  • Bachelor’s degree in Education, Communication, Technology or a related field

  • Three or more years of experience working in an admissions office Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience working with students

  • Experience working with computer systems and databases

  • Superior attention to detail

  • Ability and experience interpreting rules and regulations regarding University policy and procedures

  • The ability to work independently and as part of a team. DESIRED QUALIFICATIONS

  • Experience with the University of Washington Student Database (SDB)
