Description We are seeking an Administrative Assistant based in Santa Rosa, California, to provide efficient administrative support within the team. As an integral part of the team, you will be expected to maintain high levels of organization and demonstrate strong attention to detail in a fast-paced environment. This role offers a contract to hire employment opportunity.

Responsibilities:

• Provide direct clerical support, such as typing and proofreading a variety of correspondence, reports, flyers, pamphlets, and other documents.

• Maintain and control department files and records.

• Respond to general inquiries based on knowledge of the team's programs, policies, and procedures.

• Schedule, coordinate, and maintain calendar appointments.

• Organize and coordinate internal staff meetings and conferences.

• Support the onboarding and general orientation of new staff.

• Establish and maintain hard copy and electronic filing systems.

• Handle telephone calls, answer inquiries independently, accurately record messages, and ensure appropriate staff members receive messages and inquiries.

• Receive and screen visitors, determining needs and handling routine inquiries or requests.

• Distribute incoming mail and packages to designated drop points, as well as office supplies and fax transmissions; collects and prepares outgoing mail.

• Operate office equipment, including high volume copy machines, fax services, postage meter, and personal computers to support the assigned department.

• Maintain centralized supply ordering, contract expiration tracking, campaign tracking, and day-to-day facilities maintenance.

• Set up and maintain presentations, reports, or spreadsheets; copyedit documents as needed.

• Utilize skills in customer service, data entry, email correspondence, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word, and scheduling appointments. Requirements • Proven experience as an Administrative Assistant or similar role

• Skilled in answering inbound calls and managing inbound/outbound calls

• Exceptional customer service abilities

• Proficient in data entry tasks

• Experience with email correspondence and scheduling appointments

• Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)

• Strong organizational and multi-tasking abilities

• Excellent communication and interpersonal skills

• Ability to work independently and as part of a team

• High attention to detail and problem-solving skills

• Strong time management skills with the ability to prioritize tasks.
