Description

We are looking for an experienced Admin Assistant This role is a short term contract employment opportunity that is fully onsite in Santa Monica, CA.

Responsibilities:

• Formatting and producing documents such as proposals, presentations, correspondence, and standard reports.

• Establishing and maintaining record-keeping and filing systems.

• Managing calendars and contact databases, scheduling appointments, and completing travel or conference arrangements.

• Conducting research, updating databases, and preparing collateral materials for mass mailings.

• Handling reconciliation of receipts and completing expense reports for a designated workgroup.

• Opening, sorting, prioritizing, and distributing inbound mail, and coordinating services for outbound mail.

• Answering phone calls regarding inquiries, researching, and resolving problems requiring knowledge of department policies and procedures.

• Performing administrative duties specific to the department and handling other duties as assigned.

Requirements • Proficiency in Microsoft Office Suites, particularly in creating and editing documents, spreadsheets, and presentations

• Ability to conduct thorough research and perform analysis on the findings

• Excellent organizational skills, with the ability to prioritize tasks effectively

• Demonstrated experience in handling and scheduling appointments

• Knowledge of database management, including updating and maintaining records

• Excellent written and verbal communication skills for managing correspondence and conducting conference calls

• Competence in reconciling financial notes and performing ad hoc financial tasks

• Experience in planning and coordinating travel arrangements

• Knowledge of administrative procedures and principles

• Ability to handle complaints and resolve issues promptly and professionally

• Familiarity with laptop hardware for onsite technical support

• Proficiency in conducting training sessions, and preparing and delivering presentations

• Experience in managing a file system and ensuring its efficiency

• Ability to perform tasks related to receipts and conductivity

• Demonstrated ability to work in a professional phone presence

• Willingness to be physically present at the office as required (onsite).
