  • High school diploma or equivalency

  • Ability to manage multiple deadlines, tasks, projects, and assignments with minimal supervision.

  • Experience with budget management/reconciliations.

  • Ability to develop and maintain accurate and comprehensive records and files.

  • Effective writing and speaking skills.

  • Experience with computer software (Microsoft suite) and database management platforms.

Preferred Qualifications

  • Bachelor’s degree in business, Accounting, or another related field.

  • 2-3 years’ experience in complex secretarial or administrative work in a fast-paced environment.

  • Experience working with federally funded programs or projects.

  • Bilingual candidates with Spanish proficiency.

  • 2 years’ experience working with Concur travel system, excel and or SAP to reconcile budgets, enter Purchase orders, requisitions, experience with and other financial documents.

  • Experience with Excel worksheets to manage budgets, including formulas and complex data analysis

Job Description

This is a grant funded position; continuation of this position is contingent upon grant funding.

The Senior Administrative Coordinator performs a variety of confidential and complex administrative duties requiring independent judgment and initiative in support of the Director and program staff.

The Senior Administrative Coordinator provides fiscal and administrative support to all TRIO Programs.

May be required to work occasional nights and weekends.

Job Duties

  • Provide onboarding assistance to Grant Senior Secretaries and Grant Secretaries across all TRIO grants that provide a portion of salary.

  • Initiate PCR’s for TRIO positions and provide purchasing, travel and other administrative support for TRIO grants that provide a portion of salary.

  • Provide administrative support to program staff to include participant recruitment, selection, and service delivery.

  • Assist Director with reconciliation of program budgets. Submit monthly budget reports.

  • Work with TRIO Administrative Support Staff to resolve any issues that may arise as they pertain to budgets, financial analysis, reconciliations, procurement, travel, the hiring process, office maintenance or otherwise.

  • Coordinate Monthly TRIO Administrative Support Staff meetings to discuss administrative workflow issues and to provide university updates on changes or updates to policy.

  • Maintain program files and review for completeness.

  • Assist program staff with maintenance of program database.

  • Adhere to and provide feedback on policies and procedures to ensure efficient office/program operations.

  • Perform other duties as assigned.
