Position Overview

The are looking for Middle School Coordinator assists the Principal in organizing and fostering a positive, safe, environment that is conductive to best meeting the needs of all students, staff and parents.  The Middle School Coordinator will coordinate all aspects of the Middle School.

 

Job Duties

  •   COMMUNICATION: Compose, edit, proof, and plan for the distribution of middle school communications via letter, e-mail, web-site, to students, parents, faculty, and administration. Translate the principal’s documents from French into English. Organize and update M.S. Principal’s appointments, agenda and calendar. Maintain confidentiality with student, teacher or family matters as required, good technical skills and knowledge of Google Suite, Word, Excel, PowerPoint, required. 

  • ADVISORY: Collaborate with the M.S. Principal and Assistant Principal to implement a successful Advisory program promoting the social and emotional well-being of every Middle School student. Plan Advisory sessions; update and develop curriculum; support and communicate with Advisors; organize Advisory meetings and Student-Led Conferences.

  • EXPLORATION CLASSES: Solicit class proposals from teachers. Manage the scheduling, sign up, registration and successful implementation of the exploration class program, communication in a timely manner to M.S. community. Liaise with other members of the MS team to coordinate on room assignments and Study Time. 

  • ADMISSIONS: Assist 8th grade families and the FAIS registrar with applications to other high schools; assist teachers and Principal with letters of recommendation. Liaise with the Director of Admission to plan and schedule retention events and 8th grade visits to the H.S. Liaise with L.S. Admission Office and families of visiting and/or prospective students to schedule visits, inform involved teachers and welcome the families/students and show them around. Assist with En Route to Middle School series of events through email promotion and event setup. 

  • FIELD TRIPS/EVENTS/MEETINGS: Ensure that events, field trips and meetings involving students, counselors, teachers and/or parents are planned, scheduled, supervised and publicized appropriately. Liaise with LS and HS to ensure that there are no conflicts with meeting times or locations. Liaise with NCIS for set up needs. Help Principal decide on agenda items for meetings. Coordinate with caterers and/or order and set up refreshments when necessary. Back to School Night, Parent-Teacher Conferences, Move up Day, Career Week, En Route to Middle School, end of year events. Assist MS Principal and Assistant to the Head of School with Grade 8 Promotion Ceremony preparation and execution. Collaborates with Global Travel Program Manager to plan Middle School Retreat(s). 

  • REPORT CARDS: Provide instructions and oversight for the report-writing process to all MS teachers. Review report cards and follow up with teachers to ensure report cards are filled out completely and accurately. Ensure the registrar receives copies of report cards. 

  • EXAMS: Oversee test administration. Order MAP Growth assessments and generate results, prepare rosters for testing, make balanced testing schedules, prepare testing instructions with lists of students who need extra time, share guidelines for proctors to follow, check to make sure all teachers are prepared for testing, share results with families and follow up as necessary.

  • FACULTY: Assist faculty with securing supplies, help with POs, reimbursements, field trip forms and reservations, letters of recommendation from the Principal, books, cahiers, Coordinate with MS team members as needed.

  • PARENTS: Tend to parents in person and on the phone. Follow-up with Principal and/or teachers and/or counselors on questions and concerns parents have about their children.

  • PARENT BOARD: Collaborate with the Parent Association officers to plan and implement events and programs for MS families throughout the year.

  • STUDENTS: Be available to students when they need to tell an adult about a problem, order food, call home, find a teacher, find a lost item, get a new cahier, sign up for an activity, get a permission slip, see the Principal, etc. Liaise with Counselor, Learning Specialists, and teachers to support student learning and experience in the Middle School.

  • PURCHASING: Assist Principal in tracking purchase orders and Middle School expenditures and liaise with Administrative Services in matters. Place orders for classroom and administrative material.

  • SHARED SPACES: Reserve and manage shared spaces calendars for faculty and staff.

  • ADDITIONAL SUMMER DUTIES: Provide assistance to the Upper School administration with scheduling and other duties as needed, database update including class lists/rosters, prepare classrooms for start of the school year (buy clocks, calendars, maps, post schedules, etc.)

  • Other duties as assigned  

     

The salary range for this position is $70,000 - $90,000 depending upon experience and qualifications.
