Schedule :Monday - Friday (40 hrs/wk)8:00 AM - 5:00 PM

Department: Human Resources - 151

Primary Purpose :

Works independently and with talent team to provide support in recruitment, hiring, pre-onboarding, and administration. Works closely with the talent team and administrative team to deliver business needs. Serves as a representative of the company to employees and prospective employees. Assists team members to streamline administrative processes. Gathers and maintains applicable employee documentation from hiring and throughout their employment. Responsible for applicable data collection, documentation and storage.

Essential Functions:

Performs administrative duties often making decisions based on knowledge of ARUP’s organization and policies and basic Human Resources law.

Collects, tracks, and maintains pre-onboarding and employee documentation

Analyzes and maintains records, education, certifications, and develops applicable projects from minimal instructions using word processing and spreadsheet systems including excel.

Handles confidential correspondence and documents and assembles data from various sources and compiles special reports.

Meets with ARUP employees and external candidates and assists them with applications and appliable questions.

Gathers, documents, and maintains employee records as appropriate. Ensure a positive candidate experience through efficient interview scheduling, and through smooth interview processes.

Assist in the job application and job offer process between prospective employees and talent team.

Process, pre-onboarding tasks, and onboarding requirements,

Processes requisition requests and requisition changes, i.e., updating job postings, job requirements, work schedule, unpublishing position, etc.

Creates and maintains internal and external job postings.

Recruitment data entry and file organization, including data storage, offsite storage, and other repositories.

Assists recruiters in the recruiting/hiring process by coordinating interviews, administering pre-employment testing, and conducting references checks as needed.

Facilitates travel arrangements, i.e., airfare, hotel accommodations, agendas, for out of state candidates).

Actively participate in internal and external audits.

Assists and supports administrative team and HR generalist

Other duties as assigned.

Physical and Other Requirements

Stooping: Bending body downward and forward by bending spine at the waist.

Reaching: Extending hand(s) and arm(s) in any direction.

Mobility: The person in this position needs to occasionally move between work sites and inside the office to access file cabinets, office machinery, etc.

Communicate: Frequently and effectively communicates with others.

PPE: Biohazard laboratory environment that requires use of personal protective equipment in accordance with CDC and OSHA regulations and company policies.

ARUP Policies and Procedures: To conduct self in compliance with all ARUP Policies and Procedures.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Fine Motor Control: Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand as in handling.

Vision: Having close, far, and peripheral visual acuity to perform a variety of tasks such as make general observations of depth and distance.

Qualifications

Education

Required

  • High School Diploma or Equivalent or better

Preferred

  • Bachelor's Degree or better in Human Resources

Experience

Required

  • Type 35 wpm

  • Experience working with Microsoft Office products to include Word, Excel, Outlook, and PowerPoint

  • High school diploma or equivalent with four years of administrative support experience OR Associate’s degree with two years of administrative experience OR Bachelor’s degree with one-year administrative experience

Preferred

  • Ultimate Software/UKG E-recruitment tool

  • Familiarity with city, state, and federal laws, regulations, and codes related to employment and Equal Employment Opportunity regulations

  • Acquaintance with the local employment market and community resources

  • Two years human resources experience

  • Bachelor’s degree in Human Resource Management, HRIS, or related area
