Job Summary

From recruitment through graduation, the Undergraduate Programs ( UGP ) team is responsible for supporting students to excel in their academic and co-curricular endeavors. The Program Manager is critical to the success of the UGP team, working proactively to support the Assistant and Associate Dean, department heads, and division staff with finances, scheduling, logistics, communication, and more.

Responsibilities

  • Works closely with Undergraduate Programs leadership to organize program budgets, monitor and approve related expenditures, and ensure budget goals are met.

  • Manages purchasing, including making purchases, tracking orders, and managing vendor relationships.

  • Makes purchases for departments using platforms such as Amazon Business, Costco Business, and ezCater.

  • Coordinates financial transactions, including fund transfers, reimbursements, and account deposits.

  • Completes purchasing card allocation and statement preparation for Undergraduate Programs purchasing card holders.

  • Administers student and professional staff travel, including booking flights, hotels, and transportation; processing cash advances, reimbursements, and per diem; and closing and reconciling travel in UTravel ( SAP Concur).

  • Coordinates with relevant offices across the University (e.g. Travel Services, Purchasing, Human Resources, Business Services) to ensure timely completion of administrative tasks.

  • Advises staff, students, and others regarding relevant policies, goals and related technical issues.

  • Maintains records and prepares updates on financial status for leadership.

  • Coordinates calendars and provides scheduling support for meetings, events, and other activities as needed.

  • Compiles and maintains an annual master calendar of events hosted and sponsored by Undergraduate Programs units.

  • Monitors administrative quality and effectiveness; researches and implements improvement methods.

  • Attends and provides administrative support for division events, including coordinating vendors, directing attendees, and supporting setup and clean up.

  • Supports human resource management processes, including employee hiring and payroll approval.

  • Coordinates the completion of academic processes, including credit petitions, and course withdrawals.

  • Utilizes Qualtrics survey software, creating and administering forms and form responses for various student and staff processes.

  • Oversees day-to-day operations and coordinates division activities.

  • Other duties as assigned.

Minimum Qualifications

Bachelor’s degree in a related area plus three years of experience in budget, grant and program management or equivalency (one year of education can be substituted for two years of related work experience) required. Develops and implements program ideas into successful academic and research programs; demonstrated human relations and effective communication skills also required.
