SWCA is seeking an Administrative Specialist to support the Salt Lake City, UT office. This is a full-time, hourly, on-site position. This position is temporary with the expectation to last for up to 6 months. The candidate should be within commuting distance of our Salt Lake City office and expect to report Monday through Friday from 8 am to 5 pm MDT.

  • Coordinate office and administrative activities, including sorting/routing incoming mail and other materials, setup on and off-site meetings, organize project records and files, and ordering or purchasing of office or field supplies and food.
  • Manage office equipment servicing and vendor relations.
  • Provide and maintain records of employee building access cards.
  • Manage the fleet vehicles including arrangement of log term rentals, scheduling maintenance and keeping maintenance records, checking tire tread to determine replacement needs, equipping vehicles with all required safety items, preparing forms and information for driver safety, and tracking and reporting mileage.
  • Support the Lead Logistics Coordinator with organizing field equipment, booking travel, scheduling field staff, organizing outcoming and incoming field forms, tracking expenditures and reconciling credit card statements, and coordination of project logistics with Project Managers and Directors.
  • Support the Office Safety Representative to manage health and safety compliance tasks.
  • Assist staff and project managers with document production, data entry, UPS/FedEx shipments, and vendor communications, among other tasks as they arise.
  • Manage office operations and front desk duties to include maintaining inventory of office supplies, ensuring office kitchen is stocked and organized, answering calls and directing them to appropriate personnel, greeting and assisting vendors, watering plants, etc. Experience and qualifications for success

REQUIRED * Minimum of a High School diploma (or GED equivalent) * Minimum of one (1) year of experience in office management, logistics, or administrative assistance * Excellent communication, multi-tasking, and interpersonal skills with the ability to represent the company in a professional manner and meet tight deadlines in a fast-paced environment * Demonstrated proficiency with MS Office applications including Teams, Word (including mail merge), Excel, PowerPoint and Outlook. * Ability to manage relationships with car rental agencies * Must have a current and valid driver's license, with the ability to drive multiple types of vehicles, trucks, and 4x4s. * Must be able to run office errands with minimal notice during business hours. * Experience with scheduling and meeting coordination. * Ability to write and communicate clearly. PREFERRED * Bachelor's degree in business, accounting, or related discipline. * Experience working for an environmental consulting, engineering or construction firm. *...
