As an Administrative Coordinator, you'll play a central role in our Behavioral Health team, ensuring smooth operations and exceptional service delivery for our clients. You'll collaborate closely with Directors, Managers, Supervisors, Physicians, and Therapists to coordinate daily activities and maintain a high level of organization across the department. Your efforts will be key in ensuring that everything runs efficiently and effectively, supporting the delivery of outstanding care and services!
Key Responsibilities:
Support for Psychiatrists:
Provide administrative support to psychiatrists and clients. Manage new psychiatry client referrals, schedule appointments, and follow up with reminder phone calls. Handle prescription fills and refills, including prior authorizations and medication consultations.
Psychiatry Program Support:
Help maintain the smooth operation of our Psychiatry Program by tracking case notes and required documentation.
Initiate outcome measures being completed as required for grant funder and program protocol. Ensure that physicians submit accurate invoice to agency for services each month.
Leadership Team Assistance:
Work closely with the Behavioral Health leadership team to manage meeting minutes, data entry, scheduling, research, program reports, and the dissemination of program marketing materials.
Administrative Support:
Provide day-to-day administrative support for staff, including distributing mail, managing office space schedules, and ensuring work areas are stocked and organized. Place orders for supplies as needed.
Data and Billing Coordination:
Coordinate with the Accounting Department to ensure billing is completed accurately and on time.
Compliance:
Assist in processing subpoenas, record requests, and release of information forms while strictly following HIPAA laws and agency procedures.
Client File Management:
Oversee the organization and accuracy of all Behavioral Health client files. Ensure Psychiatry files are initiated and maintained in a complete, organized and confidential manner.
Qualifications:
Education and Experience:
High School Diploma or equivalent required, with two years of relevant experience.
