Kimpton Hotels & Restaurants Group Rooms & Reservations Coordinator - Kimpton Sawyer Hotel in Sacramento, California

What you'll Do

The Group Rooms and Reservations Coordinator supports the Front Desk, Sales and Revenue in managing reservations and handling issues related to the use of these rooms. The coordinator blocks the rooms, confirms reservations, set up the billing and helps facilitate any special room requests. A Group Rooms and Reservations Coordinator is instrumental in assuring focused and productive communication with the new and existing clients, representatives and agents as well as internal team members. Additionally, they are responsible for the different kinds of administrative functions essential for everyday operation of the system.

Some of your responsibilities include:

  • Process all reservation requests, changes, and cancellations received by email or by phone

  • Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate.

  • Explain guarantee, special rate, and cancellation policies to callers.

  • Accommodate and document special requests.

  • Answer questions about property facilities/services and room accommodations.

  • Communicate information regarding designated VIP reservations for groups or individual and notate specific level of VIP in the system

  • Input and access data in reservation system.

  • Process reservations deposit daily

  • Process group rooming list and set-up billing accordingly

  • Set- up billing from 3 rd Party booking reservations in Opera daily

  • Review pick up report weekly for the next 90 days and report any discrepancy to Sales and Revenue

  • Manage the 14 Day availability forecast daily to ensure Opera and GRS inventory are in sync

  • Respond to any challenges found for accommodating rooming requests by communicating with appropriate individual or department.

  • Oversee accuracy of room blocks and reservations.

  • Input group rooming lists using reservation systems, communicate with Revenue and Sales if there is a need to revise room blocks to maintain the required number of available rooms, and keep organized files of all groups.

  • Set-up proper billing accounts according to Accounting policies and applicable Sales contracts.

  • Assist the Area Director of Revenue for any reporting requirements for the Hotel.

What You Bring

  • Previous experience with Opera system is strongly preferred

  • Ability to communicate well with guests verbally and in written form.

  • Ability to effectively deal with guests, some of whom will require high levels of patience, tact and diplomacy

  • Strong attention to detail is required

  • Ability to access, read and accurately input information using a moderately complex computer system. Must be extremely detail-oriented and have the ability to self-check work and correct errors and/or omissions in advance.

  • Ability to establish and maintain effective working relationships with associates and guests

  • Ability to sit for extended periods of time. Ability to input 40 WPM on a computer keyboard with or without reasonable accommodation.

  • Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences, such as effectively communicating with supervisors, coworkers, guests etc.

The hourly pay range for this role is $20.00 to $22.00. This range is only applicable for jobs to be performed in Sacramento, CA.

This is the lowest to highest pay scale we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the pay range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs.
