Administrative Support Specialist
Position Overview As an Administrative Support Specialist, you will be the first point of contact for visitors, clients, and incoming calls. In addition to managing front-desk operations, you will assist with various administrative duties, including accounting and sales support. This role is essential to ensuring smooth office operations while providing exposure to key administrative and financial responsibilities. Key Responsibilities Answer and direct phone calls, taking messages when necessary. Perform general administrative tasks such as filing, data entry, mail distribution, and database management. Assist with basic accounting tasks, including invoice distribution. Answering incoming phone calls and assisting customers (or routing them to others when appropriate). Management of shared email inboxes and responding to customer inquiries appropriately. Process daily deposits and accounts receivable (A/R) payments, ensuring accuracy and timely recording. Provide administrative support across various departments as needed. Maintain a clean and organized workspace. Support marketing efforts by designing and printing sales flyers and catalogs. Plan and coordinate internal and external events, such as company luncheons and holiday gatherings. Skills & Qualifications Friendly and professional demeanor enjoys engaging with people in a customer-facing role. Strong verbal and written communication skills. Ability to multitask and stay organized in a fast-paced environment. Basic understanding of accounting or finance is a plus, with a willingness to learn. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat Reader. Ability to handle confidential information with discretion. Strong attention to detail and accuracy. Team-oriented with a flexible and adaptable mindset.
