This is a job for a Admin. Assistant Firm Services position with a company located in Ridgeland, MS.

Summary/objective: The Administrative Assistant provides support to the Firm Services team. This position serves as daily primary relief for the Ridgeland office Receptionist.

Essential functions: Assist leaders and directors in Firm Services with scheduling appointments in Microsoft Outlook including Zoom video conferences and travel arrangements when needed. Organize meetings including room setup and meals for breakfast and lunch meetings. Format documents, presentations and reports in Microsoft Word, PowerPoint, and Excel to meet Firm standards including proofreading and editing documents. Process vendor invoices on a weekly to monthly basis. Reconcile and code firm purchase card(s) expenses. Maintain and stock the common areas for the Firm Services team such as workroom, supply room, and community kitchen and snack areas. Assist with diverse projects and perform other administrative duties as assigned.

Work environment: Work to be performed in HORNE office setting.

Physical demands: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 20 pounds at times. Travel required. Less than 10%, as required per business needs.

Required education and experience:High School Diploma or equivalent required. Minimum 2-3 years of relevant experience in a professional office environment. Demonstrated ability to handle confidential information. Advanced proficiency within a Windows environment, including Microsoft Word, Excel, PowerPoint, Outlook, Zoom and Adobe Acrobat Pro. Proven ability to manage multiple priorities with excellent organizational skills. Detail oriented team player with excellent follow-through to meet deadlines. Excellent oral and written communication skills with ability to communicate appropriately through phone, text, and email. Advanced proficiency with Zoom video conference. Ability to work overtime when needed, before or after normal business hours. Preferred education and experience. Associates or Bachelor's degree. 1-2 years of relevant event or hospitality experience.
