Job Summary:

Samsung SDS America is seeking an experienced General Affairs Manager to oversee office operations, facilities management, vendor relations, and workplace services across multiple locations, including New Jersey, California, and Texas. This role ensures the smooth operation of general affairs functions, maintains compliance with corporate policies, and enhances the employee experience by providing a safe, well-maintained, and efficient work environment.

We are seeking a dedicated and experienced General Affairs Manager to join our team and play a crucial role in overseeing various operational facets of our organization. This position demands a strategic thinker with excellent organizational and management skills who can effectively coordinate and optimize our internal processes. The General Affairs Manager will be responsible for the smooth operation of daily functions, such as office management, facility maintenance, and administration services. The ideal candidate will possess a strong understanding of business operations and a proactive approach to problem-solving, as well as the ability to manage diverse teams and stakeholders. As we continue to grow, the General Affairs Manager will be pivotal in ensuring that our operational frameworks align with industry best practices and company objectives. This role is based onsite in our office in Ridgefield Park, NJ and requires national business travel up to 35%.

Responsibilities:

Office & Facilities Management:

  • Oversee office operations, space planning, and facility maintenance across multiple locations.

  • Manage vendor contracts for office supplies, security, janitorial services, and other essential workplace services.

  • Ensure offices comply with OSHA regulations, safety standards, and environmental policies.

  • Coordinate with building management for lease agreements, office renovations, and infrastructure improvements.

Workplace Operations & Employee Services:

  • Implement and maintain workplace policies and procedures to enhance employee experience.

  • Oversee employee amenities such as transportation, cafeteria services, and office supplies.

  • Manage front desk, security and administrative support teams across locations.

  • Manage PC, accessory and other company IT assets supply and inventory.

  • Provide training and guidance to new and existing employees on current GA policies and processes.

Budgeting & Vendor Management:

  • Develop and manage the general affairs budget, ensuring cost efficiency.

  • Negotiate vendor contracts to optimize service quality and expenses.

  • Monitor and control expenses related to facilities and operations.

  • Manage PC and other IT assets supply budget.

  • Process invoices and manage vendor payments.

Compliance & Risk Management:

  • Ensure compliance with corporate policies, local labor laws, and safety regulations.

  • Ensure compliance with OSHA standards and other workplace regulations.

  • Maintain emergency preparedness plans and oversee business continuity strategies.

  • Work with internal and external stakeholders to ensure adherence to security and operational protocols.

  • Maintain necessary licenses and permits for office activities.

Administrative & Travel Support:

  • Manage office deliveries and mail

  • Manage visitor’s reception and access control system

  • Maintain appropriate office records and oversee filing systems

  • Oversee business travel policies, vendor agreements, and executive travel support.

  • Coordinate logistics for visitors, expatriates, and company executives.

  • Support internal company events like meetings, conferences and other by coordinating spaces and necessary equipment.

Reporting:

  • Prepare and present monthly, quarterly, and annual reports on facility operations, budget utilization, and cost-saving initiatives.

  • Provide regular updates and recommendations to senior management on office operations, risk management, and workplace improvements.

  • Track and analyze vendor performance, employee satisfaction, and workplace efficiency metrics to drive continuous improvement.

  • Ensure compliance with corporate governance reporting requirements, including safety audits, risk assessments, and cost reports.

  • Submit OSHA-mandated reports and ensure all workplace safety documentation is up to date.

Requirements

Requirements:

  • Associate Degree in Business Administration, Facilities Management, or a related field.

  • 7+ years of experience in general affairs, office management, or corporate facilities management.

  • Experience managing multi-site office operations across different states.

  • Strong knowledge of vendor management, facilities operations, and workplace safety regulations.

  • Strong knowledge of OSHA regulations, workplace safety, and risk management.

  • Excellent problem-solving, negotiation, and stakeholder management skills.

  • Ability to work in a fast-paced environment and manage multiple priorities effectively.

  • Experience in an international business culture or multinational corporate environment is a plus.

  • Eligibility to work in the US for any employer without restrictions.

  • Ability to commute to the office according to company policies and business needs.

  • Ability to business travel up to 35% within the US.

Preferred Qualifications:

  • Experience in managing office relocations, renovations, or large-scale facility projects.

  • Familiarity with corporate travel management and employee support programs.

  • Bachelor’s degree in Business Administration, Facilities Management, or a related field.
