Federal Aviation Administration Program Support Specialist in Queens, New York

Summary This position serves as a Program Support Specialist a Federal Aviation Administration (FAA) Service Center Region and Region, Office of Policy, lnternational Affairs & Environment (APL), National Engagement & Regional Administration (ARA). Responsibilities Performs multiple and varying assignments under the limited direction of a manager or an experienced professional. Acts as an individual contributor and/or member of a team and performs leadership functions for projects/programs or other work activities. Oversees program reporting systems such as FOIA, records management, property inventory and annual data calls. Researches and investigates new or improved practices for application to agency issues or operations. Provide audit and investigative support to determine appropriate changes or corrective action required. Applies experience and advanced knowledge of administrative and program management support to plan and accomplish assignments. Works across functional and/or organizational lines to support management in tracking and managing various administrative and operations programs/projects and responding to high visibility issues. Typical assignments also include providing guidance to less-experienced professionals in day-to-day operations; analyzing data to ensure compliance with policies and procedures; preparing spreadsheets; advising on the preparation of travel and procurement documents; preparing correspondence, presentations, and graphs; identifying and recommending solutions for complex/difficult problems; and recommending improvements to systems and processes. Responsible for the efficiency of various program support functions and operations as assigned, and assists with regional programs and other special events including, but not limited to, Hotline Operations, international Notifications, NASAO meetings, all-hands meeting etc. Incumbent works independently, having developed expertise in the line of work. Incumbent resolves most conflicts that arise, coordinates the work with others when necessary, and interprets policy on their own initiative in terms of established objectives. Evaluating and recommending on the improvement of administrative support systems, including records management, budget, personnel, performance planning, directives and records training, and policies and procedures as needed. Serves as the RA's Purchase Credit Cardholder and performs all associated activities for purchase and validation. Conducting organizational efficiency by coordinating meetings for the RA/DRA, involving participants from various internal and external stakeholders. This includes planning, scheduling, and ensuring seamless communication among all parties involved. Oversees all stakeholder visits ensuring seamless coordination, availability of materials, and appropriate staff support. Develops comprehensive itineraries and collaborates with Senior Advisor to track follow-up actions effectively. Managing confidential special assignments with discretion, ensuring the accuracy, timeliness, and security of sensitive information on a need-to-know basis. Additionally, the candidate is responsible for maintaining current and securely stored Vital Records in the RA office. They will serve as a liaison between program management and supervisors, facilitating resource allocation and addressing significant work-related challenges or issues as they arise. Directs inquiries, Congressional correspondence, and HQ requests to the appropriate office(s) and ensures timely responses. Assists in preparing, assembling, and refining responses to inquiries from Congressional staff, aviation organizations, and the public. Manages presentations, publications, speeches, and articles, and aids in their creation. Conducts research for correspondence. Collaborates with team members to draft correspondence using templates and previously approved letters for similar situations. Tracks documents and ensures they are ready for final approval and distribution. Builds and sustains a network of contacts in other lines of business for efficient correspondence exchange. Works in a team environment to ensure all front office activities are completed. Requirements Conditions of Employment We are not accepting applications from noncitizens. Qualifications To qualify for this position at the FV-G, you must demonstrate in your application that you possess at least one year of specialized experience equivalent to FV-F, (FG/GS-5-9) level. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position. Specialized experience may include but is not limited to: Experience writing, adapting and crafting documents tailored to project needs. Experience in navigating organizational landscapes with sensitivity to dynamic environments. Experience leveraging technology tools beyond traditional office suites for versatile communication and presentation needs. Experience performing records management task and orchestrating travel logistics, enhancing project efficiency and effectiveness. To qualify for this position at the FV- H level, you must demonstrate in your application that you possess at least one year of specialized experience equivalent to FV-G, FG/GS-10/11 level. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position. Specialized experience may include but is not limited to: Experience communicating and working collaboratively with a wide variety of individuals both inside and/or outside the immediate organization on various work task or issues.
