Administrative Assistant
Provide essential support to the Senior Associate University Librarian and three Associate University Librarians and provide office and event management for the Library Administration Office.
What you will be doing in this position:
In this position you will provide highly complex office support to a department or function, including researching and recommending content for communications, communicating directives to high level leaders, determining appropriate information to include in reports, defining office policies and procedures, and conducting research and basic analysis.
Associate University Librarians Support:
- Schedule meetings and maintain calendars
- Process complex travel arrangements and expense reports
Work on special projects, research, compiling reports, and documentation.
Office Management and Support:
- Responsible for general office management, logistics, and oversee supplies inventory
Answer questions and ensure compliance with University policy and library regulations
Meetings and Event Management:
- Organize meetings and room reservations
Play a key role in the planning and execution of, conferences, events, and library meetings
Faculty services:
- Provide essential support for the library rank and status process
Help facilitate visits from faculty candidates and other visiting scholars
Student Supervision
Provide backup supervision and training of 3-5 student employees and participate in performance evaluations
Travel and Financial:
- Arrange complex travel and reconciliations for visitors
Complete expense reconciliations
Citizenship and Professional Development
- Serve in leadership roles and committees as assigned
- Participate in department, library, and university training
Other position-related professional development activities
What qualifies you for this role:
Minimum education/experience required:
2 years of secretarial or office management experience OR equivalent combination of education and experience
Skills, abilities, knowledge:
- Strong written and verbal communication skills
- Ability to work independently and without direction
- Ability to deal with high pressure faculty requests and/or policy compliance issues
- High level of computer literacy in standard office applications (Word, Outlook, PowerPoint, Excel)
- Maturity and discretion in working with confidential matters
- Ability to think through and resolve problems
- Excellent public relation skills with the ability to work well with others
- Ability to prioritize, organize, and use own initiative while balancing multiple projects
- Experience with Adobe Acrobat preferred
- Knowledge of library and university policies and procedures preferred
- Event planning and management experience preferred
Supervisory experience preferred
