Statement of the Job:

The University of Maine at Presque Isle is seeking to hire an Academic Records Specialist (CL2) for the Office of Student Records.

The Academic Records Specials will ensure the efficient functioning of the Office of Student Records. In addition to providing clerical duties, this position will act as the Campus Security Liaison. This is an on-campus position with typical office hours of 8 AM-4:30 PM.

Key Responsibilities Include (not limited to):

Office Duties:

  • Direct phone line to the Office of Student Records

  • Monitor the umpireg@maine.edu office email

  • Transcript Request Processing- this entails daily batch processing of internal MaineStreet official transcript requests or any walk-ins who require a physical official transcript

  • Maintaining the upkeep and updating of all student records

  • Maintain inventory and order office supplies

  • Process Purchase Orders

  • Process Enrollment Verification requests- primary responsibility is processing individual student requests needed for employment purposes, car insurance discounts, or other proofs of enrollment

  • Multiple Commencement event responsibilities

  • Supervision of office student workers

    Campus Security Liaison duties:

  • Update and maintain all security roles and permissions for students and employees in the MaineStreet (Peoplesoft) program

  • Attend the bi-monthly University of Maine System Security Liaisons meeting

    The starting rate is $18.22 per hour for a new hire or the appropriate transfer rate for a current employee within the ACSUM collective bargaining unit. In addition, the University will contribute up to a 4% matching contribution to the UMS retirement plan.     Qualifications:

    Required:

  • High school diploma or equivalent (G.E.D.) AND two years working in academic records, including some lead experience. Additional qualifying experience may substitute for the education required for the assigned position.

  • Excellent interpersonal skills, ability to function as a team member

  • Excellent oral and written communication skills

  • Excellent analytical and organizational skills

  • Experience working with college students is preferred

    Preferred:

  • Knowledge of Google Drive and One Drive

  • Knowledge of Microsoft Excel or Google Sheets

  • Experience with automated student information system

  • Experience with automated degree auditing system

  • Experience with college-level curriculum
