NBT Bank Commercial Executive Assistant in Portland, Maine

Pay Range: $30.31 - $40.52

Provides high level support to the Commercial Executives, Regional Presidents and extended staff related to calendars, meetings, and travel. Manages all aspects of regional outside events. Regularly produce management reports, presentations, and analysis, and provide support to Regional Executive(s) in terms of tracking Community Support Dollars by Region on a spreadsheet and point of contact as needed for non-profits and non-profit events.

Education and Experience:

  • Bachelor's degree and 4 years experience or equivalent combination of education and experience

  • Banking experience preferred

Skills and Abilities:

  • Must be well organized and flexible to handle multiple tasks while consistently decisioning the priority level of the task and coordinating completion accordingly.

  • Strong customer service skills

  • Proficient in Microsoft Office Suite to include Word, Excel, and PowerPoint

  • Ability to handle sensitive information

  • Maintain high level of confidentiality

  • Must be able to travel as needed to support regional events

  • Ability to interact with all levels of leadership, employees, customers, and business partners.

  • High degree of self-confidence, discretion, judgement, tact and pose, both in person and on the phone.

Tasks Performed:

  • 40% Supports the Commercial Presidents, Regional Presidents, and extended team by coordinating calendars and meetings, appointments, events, and travel. Manage all aspects associated with the planning, execution, and hosting of annual regional events; including but not limited to, scouting, and evaluating venues, food, and beverage, negotiating contracts, agendas and materials, technology/audio visual etc.

  • 25% Provides support to Regional Executive(s) in terms of tracking Community Support Dollars by Region on a spreadsheet and point of contact as needed for non-profits and non-profit events. This includes interacting with the organization, as necessary.

  • 25% Provides support to Commercial Banking Leadership with timely and accurate sales and management reports, presentations and analysis including monthly activity reports and Operating Committee reports. Office Management skills are necessary to guide and coordinate the daily activities of office personnel to achieve business goals. Maintain office calendar and conference rooms. Maintain focused work environment through supply inventory and ordering. In person contact commercial clients and outside vendors. Process travel and expense reports for Commercial President and market area sponsorship events.

  • 5% Provides support and backup across the market footprint for other Commercial Executive Assistants as needed.

  • 5% Other duties as assigned

Additional Requirements:

  • Travel as needed

  • Drivers license required

Physical Requirements:

  • Communicate effectively with internal and/or external customers

  • Stationary 75% of time or greater

  • Move Objects to Maximum 10 lbs
