Our client is a leading healthcare company with an urgent need for an experienced (3+ years) Medical Office Manager in Pleasanton, CA. The ideal candidate holds their Bachelor's degree (required) in Healthcare Administration, or Public Health, and has healthcare experience aligned in office management, office coordination, performing high level administrative work and leading teams. This is a contract to hire opportunity for the right candidate.

salary: $30 - $33 per hour

shift: First

work hours: 8 AM - 5 PM

education: Bachelors

Responsibilities

  • Bachelor's degree in healthcare administration, public health, or related field required.

Calendar Management

  • CTP Director and Manager schedules, lead manager's Schedule, backup to KM support

  • Assists with event scheduling by; Calendaring large meetings/events (Teambuilding, Volunteering, Orientation and Regional Meetings) for directors and their direct teams with front line employees, with limited guidance.

New Hire Onboarding

  • Submitting tickets to set up new hire with HR, FOPS, IT. Ensure new hire onboarding is up to date for all CTP, including badge request processes, building parking and access. Liaise with the IT department to arrange workstation setup, email accounts, and software access for new employees.

Order Suppliers

  • Ordering supplies and equipment for new hires, including phones and iPads, ordering suppliers for CTP staff and for studies

  • Submitting invoices for meetings and ordering and arranging catering

Expenses

  • Reporting for CTP directors and other expenses as identified

Tracking

  • Asset and office inventory tracking and contracts (for software licenses and other annual contracts)

Meeting Coordination

  • Will serve as a backup to direct report's team if support is needed.

Timekeeping

  • Confirming timesheet submissions, notifying approvers as needed, running reports, working with finance to confirm allocations, following up with team members to assign/confirm PAT allocations
