This is a union position. 

Under the direct supervision of the Senior Manager of Marketing & Engagement and in collaboration with the Design & Publishing Studio Manager, the *Marketing & Design Coordinator *provides essential support for the integrated marketing and design functions of the museum. The individual contributes to assigned operations of the marketing functions of the museum to support the institution's goals related to driving awareness, relevance, visitation, engagement, admission, and revenue. The individual works closely with the Design & Publishing department to elevate the creative work of the museum by supporting the department's workflows and processes and by fostering a collaborative, efficient, and responsive studio environment. Additionally, the role provides ongoing administrative support to the Marketing & Engagement and Design & Publishing departments.

The Marketing & Design Coordinator will provide critical support including but not limited to drafting and editing copy, deploying and monitoring of digital media, crafting production schedules and runs-of-show, and contributing to research and reporting for the Marketing & Engagement team. This individual also supports the work of the Design & Publishing Department with select print and digital projects that support curatorial, education and programming, development, marketing, and the institutional identity. Essential administrative duties include but are not limited to invoicing, reconciliation, expense card processing, assisting with contracts, working with vendors, documenting and implementing standard operating procedures, scheduling and taking notes at meetings, managing and organizing server files, and tracking deliverables in the museum's project management system.                                   

EDUCATION & EXPERIENCE:

  • A Bachelor's degree, a minimum of 3 years of traditional and digital marketing, and a minimum of 3 years of project management experience is required.
  • The candidate must possess outstanding project management skills, a collaborative work style, and desire to want to be part of a dynamic, creative, and fast-paced art museum team. Individual must be highly organized, detail-oriented, self-motivated, deadline driven, and solution oriented.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Experience in traditional and digital edia; has a solid understanding of various marketing platforms and media outlets.
  • Has familiarity with project management tools such as Asana.
  • Demonstrates outstanding organization, strong clerical skills, has a solid understanding of time management, and is deadline-oriented.
  • Demonstrates excellent attention to detail and the ability to balance multiple projects simultaneously.
  • Possesses excellent interpersonal, verbal, and written communications skills; works well in a collaborative, matrixed environment.

*PHYSICAL REQUIREMENTS: *

  • Work is primarily sedentary in nature; however, lifting boxes, books, marketing and PR kits, and signage that can be up to 50 lbs. is required at times.

PRINCIPAL ACCOUNTABILITIES:

  • Conducts marketing research and stays abreast of current marketing, media, and design and publishing trends and best practices.
  • Submits design requests.
  • Deploys media into market.
  • Project manages certain responsibilities through the creative development process.
  • Manages dashboards and other metrics makes recommendations for testing, iterating, and optimizing.
  • Manages the organization and upkeep of contact lists, publication comp lists, advertising kits, signage, print materials, and other assets. 
  • Supports administration of survey(s) and adjusts as needed, regularly monitors results, reports on trends, and suggests improvements of survey(s).
  • Drafts and edits reports and other documents.
  • Processes purchasing card reports, reimbursements, and invoices; tracks accounts payable, collects vendor information for payment.
  • Supports the contracting process and routes contracts from draft to execution.
  • Schedules meetings, reserves space and rooms, takes notes, and sends follow-ups or reminders of meeting deliverables or action items.
  • Drafts and edits copy a for a variety of print and digital projects.
  • Receives, responds, and/or redirects general and unsolicited emails.
  • Prepares items for the mail room including but not limited to envelopes, boxes, books, etc.
  • Arranges storage, supports inventory control, and distributes or places materials, signs, and other collateral as needed.
  • Other duties as assigned.

The following PA Act 153 clearances, or proof of application of clearances, are required beginning employment and as a condition of continued employment: Pennsylvania Child Abuse History Clearance Pennsylvania State Police Criminal Record Check FBI Fingerprint Criminal Background Check Obtaining the required clearances is completed as part of the new hire process.
