Carnegie Mellon University Administrative Coordinator - Biomedical Engineering in Pittsburgh, Pennsylvania

Reference #: 2021957 The Carnegie Mellon Biomedical Engineering department seeks to transform healthcare worldwide through interdisciplinary engineering innovation and to train future leaders and innovators in the field.

We are searching for an Administrative Coordinator to join the Biomedical Engineering department at CMU. This is an exciting opportunityfor someone whothrives in an interesting and challenging work environment. This role will be responsible for providing administrative, coordination, operational, and financial assistance for the department, and other such tasks as assigned to you.

Core responsibilities include:

Drafting correspondence, promotional materials, articles, reports, etc. concerning program/project area for supervisor's signature and/or approval

Producing and assembling regular reports and summaries. Frequently required to respond directly to inquiries and requests regarding these reports.

Preparing agendas, assembling data, setting up and coordinating arrangements for meetings, conferences, workshops, etc.

Providing general office management: setting up and maintaining complex filing systems, initiating and processing purchase orders for office equipment and supplies, paying bills, reconciling expenses for faculty and staff, etc.

Providing clerical/secretarial support for the program/project area.

Coordinating various clerical aspects of programs or projects, i.e., data collection, mass mailings of reports or newsletters, circulating journal submissions, project deadlines, commencement, lecture series, travel arrangements.

Providing in-depth information to faculty, staff, students, outside associates and the public concerning programs and projects.

Serving as initial contact and liaison, providing information/coordination via phone or in person for funding agencies or other outside associations. Provides general information regarding research and non-research contracts.9.

Provides general information regarding undergraduate and graduate programs such as, advisors, admissions process, faculty contacts, required courses, etc.10.

Serving as liaison with various campus departments including physical plant to insure building maintenance, work orders completion, etc. or Property Management to tag, track, etc. department equipment.

Booking travel for faculty, staff, and students.

Other duties as assigned.

Sensitivity to maintaining and safeguarding confidentiality regarding student and department information

Qualifications:

HS diploma or GED required (associate's degree preferred)

1-3 years of administrative support experience
