Posting Summary
Rutgers School of Public Health is seeking a Program Coordinator (Doctoral Programs) for the Office of Student Affairs Doctoral Program for the School of Public Health located in Piscataway, NJ. The primary purpose of the Doctoral Programs Coordinator position is to provide a wide variety of administrative and support services, as well as perform essential functions, for the day-to-day activities and procedures related to the School's doctoral programs and other programs and services provided by the Office for Academic Affairs as well as scheduling for Office for Community Engagement and Public Health Service.Duties include:
  • Oversees the PhD and DrPH application processes and, as requested, other applications, ensuring efficient distribution to faculty for evaluation. Coordinates with faculty reviewers to ensure timely completion of doctoral application evaluation and directs the preparation and dissemination of acceptance, wait-list, and rejection communications for admissions.
  • Familiarizes doctoral students with the academic environment and guides students through the critical doctoral program milestones, such as the qualifying examination and dissertation phases. Provides coaching to support students' academic and professional development. Identifies opportunities for doctoral student engagement beyond coursework to build professional and employment skills.
  • Creates, updates, and maintains written communication about requirements, deadlines, events, and other information related to doctoral students and faculty, including PhD and DrPH student handbooks, Canvas pages, student forms and other student-focused information and materials. Collaborates with diverse university and school departments, offices and services to ensure accuracy and relevance of information for doctoral students. Implements strategies to enhance communication and streamline the dissemination of critical information to doctoral students, fostering a supportive and inclusive academic environment.
  • Responsible for the management and maintenance of PhD and DrPH student records, both paper and electronic, for the school, including the handling of individual development plans, candidacy approval forms, and other essential documents, as well as ensuring accurate documentation of applied practice experiences and dissertation information. Implements best practices for records management to ensure compliance and efficiency.
  • Leads the planning and organizing of the DrPH Executive Sessions which are held in Newark and Piscataway (on campus), encompassing weekend sessions. Develops agenda and creates content specifically for the DrPH program, ensuring alignment with program goals. Ensures seamless execution by coordinating logistics, overseeing on-site support, and attending the approximately six weekend sessions per academic year on campus.
  • Leads the planning and organizing of the PhD Research Seminar and Doctoral Colloquia which are held in Piscataway (on campus) during the academic year.
  • Reviews degree certification packages prepared by doctoral students to ensure all appropriate and necessary information is included.

Required Knowledge, Skills, and Abilities
  • Bachelor's Degree in Public Health, Liberal Arts, Public or Business Administration, the Social Sciences or a related field, plus Three (3) year of professional level experience in a business office, government agency, or university setting.
  • Must be able to proficiently utilize various computerized systems such as Outlook, Zoom, and Doodle to efficiently schedule and coordinate meetings.
  • Strong organizational, written and oral communication skills are required.
  • Must have a valid driver's license and vehicle.
  • Equivalent education, experience and/or training may be substituted for the degree requirement

Preferred Qualifications
  • Proficiency in Microsoft Office essential and proficiency in statistical software preferred
  • Knowledge of Marketplace a plus.
