Robert Half Real Estate Services Administrator in Philadelphia, Pennsylvania

Description We are in search of a Real Estate Services Administrator to join our team in Toms River, New Jersey. As part of our team, you will be tasked with general administrative support for the Real Estate Management Team, ensuring efficient processing of customer applications and maintenance of accurate records. This role offers a long-term contract employment opportunity.

Responsibilities:

• Accurately process customer credit applications in a timely manner.

• Maintain precise customer credit records.

• Resolve customer inquiries promptly and professionally.

• Monitor customer accounts and take necessary action as required.

• Assist in the preparation of monthly and quarterly management reports.

• Coordinate and monitor status of work assigned to vendors.

• Maintain tenant, vendor, and property files, including insurance certificates and lease abstracts.

• Assist with budget preparation by researching costs for supplies and services and obtaining bids.

• Perform a variety of administrative tasks for assigned staff, including phone support, correspondence drafting and distribution, expense reporting, and meeting coordination.

• Comply with bid process guidelines and assist with preparations of Common Area Maintenance (CAM) dues invoices. Requirements • Proficiency in Microsoft Office Suites, specifically Microsoft Excel

• Proven experience in Customer Service and Communication roles

• Ability to provide high-quality Training on Procedures and Practices

• Experience in managing Accounts Payable (AP) and Accounts Receivable (AR)

• Proficiency in Invoice processing and Scheduling tasks

• Knowledge of Insurance policies and procedures

• Experience in Supervising teams and coordinating with Vendors

• Understanding of Collection Processes and ability to manage Correspondence efficiently

• Ability to perform Quarterly reviews and Ad Hoc Financial tasks

• Proficiency in Calendar Management and Time Management

• Experience in Real Estate Property Management and knowledge of Property laws and regulations

• Ability to prepare Expense Reporting and Filing tasks

• Proficiency in the use of About Time software

• Knowledge and experience in the Real Estate industry.
