Position Announcement

 

Utah Valley University is looking for a dedicated and detail-oriented individual to join our team in the new Department of Health Sciences as the Coordinator for our Health and Wellness programs. In this role, you will perform a variety of administrative and financial tasks, including composing routine correspondence with students and adjuncts, helping with scheduling needs, completing requisitions and purchase orders, and managing the department budget. You will play a key role in marketing and recruiting into department programs and assisting in department concurrent enrollment efforts. Additionally, you will offer support to faculty and staff and manage record-keeping for student credentialing. This is an exciting opportunity to directly support the effort to increase health programs on campus.

 

Summary of Responsibilities

 

• Financial & Administrative: Coordinates the preparation and submission of various reports and documents including new hire paperwork completion and submission, requisitions, purchase orders, index tracking and reconciliations. Establishes, updates, and maintains files on inventory ordering, receiving, billing and distribution. Develops budget plans and expenditure reports and provides guidance to assure compliance regarding proper use of funds, purchasing rules, and pro card expenses. Manages, prepares, and submits ePAFs and eSAFs for instructors, as well as maintains employee personnel records. Provides administrative support for department programs, meetings, and special projects.

• Marketing and Recruitment: Coordinates marketing, recruitment, and website management. Plans and executes information sessions about department programs. Assists in the selection of student cohorts, where applicable. Attends informational events on campus and in the community to promote department programs. Maintains department and program social media and websites. Creates marketing strategies and events in cooperation with Department Chair and faculty.

• Faculty and Staff Support: Facilitates student needs and/or academic issues for program faculty and staff. Manages scheduling of courses and instructors. Assists in distributing online shells and textbooks to adjunct instructors. Conducts graduation and course research, analyzes data, and writes reports. Completes assessments related to the program. Assists in special projects for Department Chair and faculty.

• Clinical/Lab Support: Assists with program accreditations and approval. Works with university departments across campus (advising, marketing, admissions, financial aid, the mental health counseling center) and may coordinate with other community wellness programs and clinics. Collects and track student data to ensure program requirements are met, including verification of certification eligibility and national testing approval.

• Performs other job-related duties as assigned.

 

Minimum Qualifications

 

Graduation from an accredited institution with a bachelor's degree plus two years of relevant professional experience related to the summary of duties OR a combination of education and experience.

 

Preferred Qualifications:

 

• Bachelor's degree in a health or fitness-related field.

• Prior work experience within the health and wellness field.

 

Knowledge, Skill, and Abilities

 

Knowledge

 

• Knowledge of management principles, including organization, prioritization, effective problem-solving, and good critical-thinking capability.

• Knowledge of academic programs in higher education, including certificate programs. Knowledge of health and wellness (generally) and as applied to coaching/teaching.

• Knowledge of social media platforms and how to use each effectively.

• Knowledge of effective recruiting and marketing techniques.

 

Skills

 

• Skilled in programs and software applications supporting productivity, scheduling, and reporting.

• Skills in data collection and creating reports.
